This is a PT freelance Event Production Assistant role for our Marriage Proposal Events company providing 9-21 hours per week.

JD: This is a part-time on-site Event Production Assistant Coordinator role, your direct supervisor is the on-site Event Lead Coordinator. You will be assisting with the set up, production, and break down of marriage proposal events. The events are in 3 hour time blocks in private and public venues across Manhattan and Brooklyn. We average 20 events a week/80 a month.

You will help set up the decor for an event, curate the client experience during the event, and pack out the decor after the event is over.

The events typically always include: 1.5 hours for set up, 1 hour with the client , 30 minutes for breakdown. During the 1 hour with the client, a professional photographer will capture the moment and the on-site lead/assistant is responsible for attending to client needs and recording BTS, creating the bouquet/giftbag, and facilitating a "champagne pop/spray" photo- op for the client.

Selected potential candidates will be invited to a 30 minute virtual interview. Successful candidates will be required to attend a mandatory, in-person, training day Sunday, May 12th, from 10:00 - 1:00pm.Please reserve the date/time.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

  • Assist Lead coordinator on-site
  • Assist with the unloading of decor from company vehicle and the transport of the decor from the van to the venue
  • Run any on-site errands when needed (ex. pick up flowers or photos)
  • Assist with the set up of decor (ex. set up 3ft MARRY ME LED letters or build faux flower heart arch, etc.)
  • Place flowers in vases, decorate aisle with vases and flowers, add additional loose decor
  • Set up/Troubleshoot A/V (LED letters, neon signs, speaker for playlist)
  • Greeting clients
  • Record "Behind-the-scene" content on a phone to capture client's reaction and upload it to our drive
  • Client experience driven - bring EE energy and a high level of hospitality - be the client's hype man - this is a special day for them!
  • Facilitate "champagne pop" and create bouquet/gift bag for client
  • Properly pack up the decor and return to company vehicle

  • Autonomously completes the tasks provided that were assigned by lead
  • Takes initiative to be proactive and anticipate the next task maximizing time on site.
  • Be the lead's right-hand man! i.e, organizing decor for the next set-up, making sure champagne glasses are clean, sweeping the area near you, sprucing up the standing decor, or adding more flowers where needed.
  • Maintains a tidy/professional workspace.

Skills & Qualifications:

  • 0.5-2 years experience as an on-site event assistant, event coordinator, or in a similar/comparable role. (preferred, not required)
  • 0.5 - 2 years experience taking video content on a phone (preferred, not required)
  • Ability to record video content on your personal phone and upload to our drive. (required)
  • Familiarity or previous experience using Ubeya (scheduling/booking app) (preferred, not required)
  • Must be available to work nights and weekends - our events are heavily concentrated on Friday nights, and Weekend days and nights. (required)
  • Ability to work commute to different locations throughout Manhattan and Brooklyn. (required)
  • Ability to lift objects up to 30lbs (decorations/props). (required)
  • Ability to set up decor with an eye for design and attention to detail (spacing, symmetry, etc.) (required)
  • Ability to commit to a minimum 5 shifts per month (e.i 5, 3 hour proposals) for a minimum of 3 months, (but there is ample opportunity to work 20 shifts per month if you wish.) (required)
  • Excellent organizational skills, including multitasking, time management, and meticulous attention to detail. (required)
  • Strong interpersonal and communication skills. (required)
  • Ability to work under pressure and time constraints (required)
  • Creative, out-of-the-box thinking. (required)
  • Valid Driver's License (preferred, not required)
