Operations Manager
Operations Manager will oversee the day-to day-operations and the management of building maintenance and cleaning, office activities and scheduling. Provides organization-wide operational support with a wide-reaching impact across all pods within the organization. Responsible for the oversight and training of Clerical staff. Responsible for compilation and preparation of accurate and timely stats to be utilized by Management in Funding Reports. Facilitates automated and manual data collection and record systems. Responsible for the management and utilization of computer resources. Acts as a liaison to groups and organizations and performs community education as needed. Coordination of special projects and activities. Acts as the direct support staff to the Executive Director. Supports activities of and coordinates with the Network Administrator.
QUALIFICATIONS/BACKGROUND REQUIRED:
- Human Service degree is preferred; however, four years of experience can substitute for some education;
- Ability to communicate information effectively in a clear, concise and courteous manner both orally and in written communication;
- Ability to train co-workers;
- Knowledge of office terminology, procedures and equipment including data and word processing equipment, software and dictation equipment;
- Ability to be discreet in sharing information which is of a confidential nature;
- Ability to perform multiple tasks with minimum supervision, prioritize assignments and meeting deadlines;
- Experience with computer and MS Office programs, Internet, email, and data collection;
- Proactive approach to problem solving with strong decision-making skills;
- Typing speed minimum of 50 wpm;
- Two years’ experience managing an office; and
- Required to pass criminal and child protective services background checks.
ESSENTIAL JOB FUNCTIONS:
- Accomplishment of clerical assignments from the Executive Director in an accurate and timely manner;
- Management of office activities and oversee clerical staff;
- Organize and maintain files;
- Upholds a strict level of confidentiality;
- Maintain supply and paper inventory and purchases for the organization;
- Make travel arrangements for Executive Director;
- Screen and route calls to the Executive Director;
- Manage Executive Director’s calendar and set up meetings;
- Correspondence to and coordination of activities of the Board of Directors and maintain Board files’;
- Preparation of Board minutes;
- Correspondence for committees that Executive Director serves on;
- Assist with preparation of grants/contracts/proposals;
- Assist with the maintaining of personnel files;
- Coordination of Center Intakes;
- Oversee participant files and scanning of documents;
- Oversee CILs 1stData system and ensure data is entered correctly;
- Oversee opening, stamping & logging of incoming mail. Distribute incoming mail and post and ensure outgoing mail gets to the post office;
- Coordinate maintenance of office equipment and meter readings;
- Format information for internal and external communication-memos, emails, presentations, and reports;
- Back up Receptionist as needed;
- Arrange for ECI phone coverage
- Provide training one-on-one in group settings for staff on Clerical needs, data collection, software, technology etc.
- Preparation of ECI monthly newsletter;
- Coordinate with Network Administrator and provide support as required;
- Troubleshoot technology issues and develop/update best practice procedures;
- Recommend, document and follow internal processes and practices;
- Serve as Administrator for Center’s database (CILs First);
- Serve as Administrator for Center’s phone system and changes;
- Completion of purchase orders and work orders as needed;
- Update ECI website; and
- Others duties as needed
HOURS/SALARY: Full-Time Position; Salary Range $50,000-$60,000
