Due to continued growth, our Nuclear Services Group is seeking an Administrative Assistant to work in our Phoenix, AZ location. Candidates should be able to assist by handling office tasks, providing administrative support to ensure efficient operations company-wide.  The Administrative Assistant will support ENERCON employees through a variety of tasks related to organization and communication. This is a full-time, on-site position.

Responsibilities (including but are not limited to)

  • Cover the reception desk area as required
  • Answer and direct phone calls
  • Maintain contact lists and departmental handbook and procedures
  • Prepare/generate regularly scheduled reports (access control, others)
  • Maintain office and break room supply inventory by anticipating needed supplies for employees (nameplate, etc.); placing and expediting orders for supplies; verifying receipt of supplies
  • Maintain department calendar to include upcoming meetings and ensure that new employees have materials needed on first day of employment
  • Ensure operation of copiers, coffee machines, water filters and other office equipment by completing preventive maintenance requirements and submitting service requests:
  • Prepare and submit invoices for approval in a timely manner, follow up as necessary to ensure timely payment
  • Prepare outgoing mail and shipments as necessary
  • As needed, prepare, and assist in the organization, setup and clean-up of catering, special events and meetings
  • Carry out administrative duties such as filing, copying, binding, scanning, etc.
  • Provide good customer service by answering questions and requests to internal and external customers
  • General office support

 Required Qualifications/ skills

  • High School diploma and a minimum 1 years’ experience.
  • Proficient in MS Office
  • Ability to be proactive
  • Team player with positive attitude
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational, planning and customer service skills
  • Ability to prioritize and organize daily tasks
  • Ability to multi-task or change gears quickly
  • Professional attitude and appearance
  • Must be able to lift 25 lbs.

Employment requirement

Ability to pass a pre-employment and random drug and alcohol screenings, ENERCON and client-specific background checks, and annual motor vehicle record (MVR) according to company and client policies.

Must be legally eligible to work in the US without current or future sponsorship.
