This position supports the SVP of Engineering as well as the Dallas Engineering, Project Controls, and Asset Integrity teams' administration needs. This includes tasks associated with expense reports, invoicing, department budgets, and numerous weekly and monthly reports. Duties include:
- Assist accounts payable in routing and processing of invoices for payment to the correct project managers and troubleshooting issues. Research and coordination with vendors will be necessary at times.
- Assist in department expenses for budget prep and reporting.
- Calendar management of SVP's calendar.
- Assist with travel arrangements and accommodations for the team.
- Perform various clerical duties such as distribution of incoming/outgoing mail, copying, faxing, filing, calendar management, ordering supplies, etc.
- On-boarding - ensure new employees have the resources and equipment to make their first week a positive and productive experience.
- In charge of the setup and cleanup of lunches or team meetings.
- High school diploma required; Some college course work preferred
- 8 years administrative experience required
- Administrative experience in the energy industry is a plus
- Proficiency in all Microsoft Office components (Excel, Word, PowerPoint, PowerBI)
- Excel skills must include the ability to build and format formal reports
- Proven ability to work independently and with minimal supervision while exercising judgment, initiative, and knowledge of company policies to resolve problems and recommend solutions
- Ability to communicate effectively both verbally and written with senior leaders and external contacts
- Exceptional organization skills and a strong attention to detail
- Ability to excel in a fast-paced environment by prioritizing tasks and understanding critical deadlines
