Job Description
ENSCO, Inc. is seeking an experienced, forward-thinking Executive Assistant who will be responsible for providing high-level support to the President and headquarter Executive staff. This position will require a skilled and experienced Executive Assistant/Administrator, supporting a $160M technology company. Job requirements include, but are not limited to managing calendars and schedules; answering phones; making travel arrangements; meeting planning, organization and execution; written correspondence, assistance with preparation of Power Point Presentations and expense reporting, organizing company events, managing company's and President's membership in various associations and organizations, administration of SOP process, assisting other headquarters Executives with similar duties. The Executive Assistant/Headquarters Administrator must be energetic, well organized, and have the ability to quickly address time sensitive scheduling situations.
The selected applicant will be expected to manage priorities to accomplish the multitude of requirements set forth by the President and other Executives with minimal direction. He/she will be expected to accomplish both short and long-term assignments independently, with only general direction regarding objectives and policy to ensure organizational effectiveness and efficiency, while maintaining confidentiality as required. The Administrator will establish a partnership with staff, operational leadership, corporate leadership and customers and provide superlative service in all aspects of the job.
Successful candidate will also interface at times with customers as well as all levels of staff members throughout the company and must be comfortable representing the company in a highly professional manner. For customer support, maintain awareness of all ENSCO customers and board members by name and organization, interact with them to set up appointments as required, and handle all logistics and meal-planning for meetings. Additional duties include maintaining a list of current customers, titles and addresses in support of general correspondence, newsletter and greeting card distribution, and in building relationships with administrative support personnel of customers as appropriate.
Qualifications Required (Skills)
- Bachelor's Degree or equivalent experience
- Minimum 5 years of direct and demonstrated Executive Assistant experience supporting C-level executives.
- Must have excellent organizational skills and attention to detail for keeping schedules and meetings.
- Basic financial skills with the ability to create and resolve expense reports
- Excellent time management skills and the ability to support quick turnaround requests after hours as needed
- Ability to maintain a high level of accuracy in preparing, entering, and tracking information.
- Must be able to handle stressful situations and accommodate last-minute changes
- Experience interfacing with clients/customers
- Ability to work in a discreet manner and to maintain confidentiality and privacy
- A self-starter with strong writing, oral, and listening skills; excellent interpersonal skills
- Ability to travel periodically (anticipated less than 10%)
- Must maintain a professional appearance at all times
- Proficient in the use of Microsoft Office apps, specifically Outlook (mail and calendar), Word, Excel, and PowerPoint
Qualifications Desired
- Previous experience directly supporting a President or CEO
- Ability to read and understand financial, HR, and other reports, and summarize and present the data
