SUMMARY
Specialty medical practice seeks a skilled Practice Administrator to lead our operations for several practice locations in market. The Practice Administrator is responsible for managing the overall success of an assigned market for a group consisting of multiple Physicians, Physician Assistants, and each of their respective books of business across multiple practice locations. This role provides the leadership, direction, training, administration, and coordination of medical office activities within a defined market. This includes, but is not limited to, accountability for operations, customer service, patient care, financial performance, personnel management, physician and client relationships, and strategic initiative implementation.
RESPONSIBILITIES
Financial and Operational
- Assists in preparing annual budgets, and monitors and manages controllable expenses.
- Attends scheduled meetings to communicate and resolve operational issues related to company strategy, financial performance & other initiatives.
- Ensures all quality-care standards are adhered to within their assigned market.
- Monitors and presents business metrics related to financial and operational performance, including interfacing with support departments responsible for data production and analysis.
- Collaborate with other Practice Administrators/Directors to maintain consistent policies and procedures across all sites and provide support to new practice locations or acquisitions.
- Ensures that all practice locations meet compliance and risk management goals.
- Works with office managers to maintain clean, safe, and presentable facilities, per company guidelines.
- Collaborates closely with the Revenue Cycle team to improve overall revenue cycle metrics and build a strategic plan for continuous improvement.
Business & Personnel Development
- Participates in business development meetings, as needed, to identify target providers within the local market, obtain and disseminate pertinent information, or serve as a key contact in acquisition opportunities or expansion of services.
- Interfaces with recruitment team to ensure appropriate processes are in place to identify and place candidates in an efficient and cost-effective manner.
- Oversees onboarding efforts of all new staff and providers in the assigned market.
- Recruit, train, develop and evaluate office manager/supervisor and employee performance to best align with company goals.
- Directs recruiting strategy for the assigned market to fulfill needs for short, mid and long-term success and market development.
Physician Relationship Management
- Coordinates contract negotiation/renegotiation process in conjunction with legal, clinical & operations leadership (and other relevant internal stakeholders).
- Coordinates and monitors contract changes.
- Meets regularly with physicians to:
- Identify any projected changes in service requirements that impact operations and financials.
- Proactively address expectations and issues.
- Understand and communicate local market changes that may impact the company and/or physicians.
- Meet regularly with the physicians to understand their needs, resolve and report on identified issues, and build relationships.
- Act as a liaison for physicians to escalate discrepancies to upper management.
- Develop and lead monthly performance presentations/meetings with the physicians over the assigned practice locations.
QUALIFICATIONS
- Ideal candidate is an RN with an MBA or MHA.
- Bachelor’s degree required.
- Master’s degree highly preferred (MBA or MHA).
- Clinical credential highly preferred (RN or higher).
- Minimum 5 years healthcare management experience required, preferably in multi-site practice management, and preferably in a surgical specialty.
- Bilingual (Spanish) desirable.
- Exceptional interpersonal, customer service, problem-solving, verbal and written communication, and conflict resolution skills.
- Knowledge of management principles and team building.
- Knowledge of basic financial reports and operational key performance indicators for an outpatient physician practice.
- Strong coaching and leadership skills, ability to motivate employees and foster a positive work environment.
- Decisiveness, critical thinking, attention to detail, and the ability to work autonomously.
- Proficiency with the necessary technology, including computers, software applications, phone systems, EMR, etc.
- Polite, positive, and professional management presence.
