As we seek to modernize and evolve, we are looking to bring on a new Client Coordinator.
Summary of Position: The Client Coordinator role is a hybrid position acting as the primary contact for future guests and clients, as well as fulfilling receptionist duties. This role entails promptly following up on all initial calls and inquiries, supporting other administrative team members, and assisting with accounting tasks. It combines client coordination and receptionist responsibilities to ensure a professional and positive experience for all interactions.
Duties & Responsibilities:
Client Coordination:
- Serve as the first point of contact for future guests and clients.
- Promptly follow up with all initial calls and inquiries.
- Update event inquiries into the POS system.
- Enter payments received into the POS system.
- Communicate with various departments to ensure smooth and efficient day to day operations.
Receptionist Duties:
- Maintain a tidy reception area during business hours (Mon-Fri, 9am-5pm).
- Answer phones, transfer calls, take messages, and send emails as appropriate.
- Greet and guide visitors, assisting with tastings and tours as needed.
- Manage inventory, maintenance, and ordering of office supplies.
- Coordinate office appointments and scheduling interviews.
- Open and distribute mail appropriately, including updating payments and notifying the sales department.
- Provide administrative support across all departments.
- Foster cross-departmental communication, reinforcing and promoting a strong team culture.
Ideal Candidate:
- Sales experience is not required but highly desirable.
- Experience in hospitality and/or customer service.
- Reliable, motivated, eager to learn, and takes initiative.
- Working knowledge of Google and Microsoft applications.
- Ensures reliable transportation.
- Willing to assist with catering parties when needed.
- Possesses an upbeat and enthusiastic attitude.
This position requires a professional demeanor, excellent communication skills, and the ability to multitask and manage various responsibilities simultaneously. The ideal candidate will serve as a brand ambassador, embodying the hospitality, professionalism, and charm of the company.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
