What are the responsibilities and job description for the Associate, Administration position at EquiLend?
Responsibilities:
- Greet clients, guests, and employees
- Add visitors to the building security manifest
- Manage day-to-day office operations; ordering office supplies and maintaining stocked inventory with minimal supervision
- Manage company events & celebrations for internal employees
- Receive, sort, and route mail; maintain and route publications
- Receive and mail out packages and deliveries
- Liaise with the administrative team and coordinate with assistants from other offices
- Help coordinate meeting logistics in collaboration with internal stakeholders; manage office and conference room calendars in MS Outlook
- Should take an interest in and support company initiatives and attend and participate in administrative meetings
- Assist Executive Assistant with additional office duties as directed
- Maintain printers and other office equipment, assist users, send faxes, and retrieve and route incoming faxes
- Cover responsibilities of Executive Assistant as necessary
Requirements:
- High School Diploma
- 2-4 years administrative experience preferred
- Available to work from our Battery Park City office 5 business days per week
- Knowledge in Microsoft Excel, Word, Outlook and PowerPoint, and Adobe Acrobat Professional
- Excellent verbal and written communication skills - ability to communicate effectively and professionally with staff, management, clients etc.
- Must possess strong interpersonal skills, be detail oriented and have strong organization and time management skills
