EquipmentShare is searching for an Administrative Assistant for the manufacturing facility in Moberly, Mo., to support the manufacturing management team with high level administrative support.
EquipmentShare is seeking an Administrative Assistant responsible for providing high level administrative support to the manufacturing management team within the workplace, taking calls, scheduling meetings, managing management requests and other office duties. They may also oversee office functions and supervise additional employees.

Primary Responsibilities for an Administrative Assistant
- Provide administrative support to our Manufacturing management team
- Screen incoming phone calls, taking messages when appropriate
- Make travel arrangements
- Draft internal and external correspondence
- Submit expense reports
- Take notes during meetings
- Assist with other clerical tasks as needed, including data entry
- Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the management team's behalf
- Maintain comprehensive and accurate records
- Perform minor accounting duties
- Organize meetings, including scheduling, sending reminders and organizing catering when necessary
- Keep the managers' calendars, including making and prioritizing appointments
- Conserve the management team's time by reading, researching and routing correspondence; draft letters and documents; collect and analyze information; and initiate telecommunications
- Maintain management's appointment schedules by planning and scheduling meetings, conferences, teleconferences and travel
- Represent the management team by attending meetings in their absence and speaking for the them as requested
- Provide historical reference by developing and utilizing filing and retrieval systems and record meeting discussions
- Maintain office supplies inventory by checking stock to determine inventory level; anticipate needed supplies; evaluate new office products; place and expedite orders for supplies; and verify receipt of supplies

Skills & Qualifications for an Administrative Assistant
- High school diploma or GED certificate
- Bachelor's degree preferred, but not required
- Prior experience in a secretarial or administrative support role required (3-5 years preferred)
- Basic computer skills
- Attention to detail
- Ability to travel, if required
- Time management and ability to meet deadlines
- Verbal and written communication skills
- Strong organizational skills and ability to multitask
