Job Description The Opportunity: Embry-Riddle Aeronautical University is now hiring an experienced Executive Assistant to the Sr. Vice President and Chief Operating Officer (SVP/COO). As the Executive Assistant, this individual will play a critical role in facilitating the smooth functioning of the SVP/COO's office by managing administrative tasks and ensuring efficient communication and coordination within the organization. This is a dynamic and fast-paced position that requires exceptional multitasking abilities, discretion, and a proactive approach to problem-solving. This role will report directly to the Executive Director of Institutional Efficiency. Responsibilities include the following: Ensure all administrative, financial, and operational aspects of the SVP/COO’s office are running efficiently, including the management, planning, and tracking for operating budgets. Handle inquiries for the SVP/COO’s office, determine priority, create action plans, and assist with preparing, editing, and disseminating communications. Ensure the SVP/COO’s calendar is aligned with the university’s strategic priorities. Develop and execute proposals/one-pagers for key projects and stakeholders. Prepare and distribute meeting agendas, stakeholder bios, minutes, and other relevant documents (e.g., PPT presentations). Handle sensitive and confidential information with utmost professionalism and discretion. Conduct research, compile data, and prepare reports and presentations as requested. Coordinate travel arrangements and logistics and complete expense reports upon conclusion of university travel. Support the COO in project management and follow-up on action items. Perform general administrative tasks such as filing, record-keeping, answering phone calls, and maintaining office supplies. Communicate regularly and effectively with staff reporting to the SVP/COO. Assume special projects assigned by SVP/COO. Other administrative duties as assigned. Qualifications Required Qualifications: Bachelor’s degree and at least five years of proven experience as an executive assistant or in a similar role supporting C-level executives. Excellent technical skills, including proficiency in Excel, PowerPoint, Word, and Outlook. Demonstrated time management skills with the ability to prioritize tasks and meet deadlines. Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders. High level of discretion and confidentiality when handling sensitive information. Ability to anticipate needs, think critically, and take proactive measures to support the SVP/COO. Exceptional attention to detail and accuracy in all tasks. Ability to work independently and collaboratively in a fast-paced environment.
