This position is located within the Generalist Division of the HR & Merit System Department

 

Purpose of Classification:

The purpose of this classification is serve as the primary administrative support for daily operations in specialized areas of the Human Resources Department. This classification is distinguished from Human Resources Specialist in that incumbents in this class may provide lead guidance, direction and training to other Human Resources Specialists.

Essential Functions:

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Performs customer service functions; provides information and assistance regarding department services, forms or other issues; responds to routine questions, complaints, or requests for service; and initiates problem resolution.

Assists professional staff with job fairs, entry-level testing and performs other para-professional duties in support of the recruiting function such as coordinating background checks, pre-employment physicals and on-boarding.

Enters data into computer systems; gathers, logs, tracks, or maintains records regarding department activities; compiles data for further processing, or to prepare department reports; and files, maintains, and stores electronic and hard copy records; and assists with upgrades and software downloads as needed.

Maintains file system of  a variety of confidential files/records and information: prepares files, organizes documentation, and files documents in designated order; retrieves/replaces files; scans records into computer; shreds/destroys confidential or obsolete documents; conducts records maintenance activities in compliance with guidelines governing record retention.

Maintains the classification specification respository for the Human Resources department and coordinates updates/changes within the department systems and compensation evaluation system vendor.

Researches, compiles, and/or monitors administrative, statistical data or other metrics pertaining to department operations; summarizes and performs complex data analysis, and prepares reports and open records requests; and researches department files, database records, internet sites, hard copy materials, or other sources as needed.

Communicates with supervisor, other County departments and employees, the public, outside agencies, and other individuals as needed to coordinate work activities, exchanges information, or resolves problems.

Operates a personal computer to enter, retrieve, review or modify data, utilizing word processing, spreadsheet, database, presentation, internet, e-mail, or other software: and operates general office or other equipment as necessary to complete essential functions.

Maintains confidentiality in performing job responsibilities.

  Minimum Qualifications:

Associate’s degree in Human Resources, Business/Public Administration, or related field; three years of experience in human resources or customer service in a human resources environment; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
