Position Summary:
The Facility Coordinator supports client office, maintenance, and business services by providing a wide variety of support and administrative tasks. Conducts operations with understanding of and compliance to client’s values and practices.
Essential Duties and Responsibilities:
The Facility Coordinator performs a variety of light maintenance, and business services tasks.
Welcomes, greets, logs, and provides assistance to visitors
Answers and routes incoming calls/public inquiries.
Performs administrative support tasks for client and ESFM management; may include new initiatives and special projects (training, data collection, etc.)
Oversees the distribution of building access cards
Performs security responsibilities by issuing and managing visitor/guest/vendor access badges, as well as applying security policies and protocols
Conducts daily site walk-throughs in order to maintain a high standard of office appearance; scope includes but is not limited to furniture, janitorial, interior plants, artwork, interior finishes (carpets, walls, ceilings, etc.) as well as public/shared areas
Request maintenance and/or repair of office space, furniture, and equipment from vendors, contractors, suppliers, and/or landlord's representatives
Manages daily mail activities, including shipping/receiving of letters and packages, follow protocol for suspicious/hazardous packages, maintain postage meter supplies, and ensure timely mail delivery
Manages office equipment and supplies, re-orders, and re-stocks as necessary according to office standards
Supports perks programs, including free lunch/lunch voucher and pantry services, catering, parking, and transportation
Assists with in-office business meetings, including setup and teardown of events and conferences (furniture, audio/visual equipment, etc.)
Coordinates food and beverage service, including restock of customer areas, pantries, lunch & lunch voucher programs, and catering requests
Other duties may be assigned.
Inspect and set workspaces for newly hired client employees, assist in the inventory and tracking of client and Company assets and equipment.
Responds to emergencies or non-business hour requests for services at the facility as requested.
Participates in group coordination meetings and contributes ideas on continuous quality and product improvement.
Performs any related duties as needed, including emergency procedures, safety procedures, and related training classes and procedures.
Using client and Company provided computer and software resources and computers, receives work and service request tickets and completes these requests according to standard operating procedures of the site.
May use light hand tools and small power tools to install, maintain, pictures, interior signage, furnishings, and office accessories as needed. Performs some minor maintenance repairs (such as ceiling tile installation, basic light replacement, unclogging toilets and snaking drains in restrooms ) when needed.
Notifies internal dispatching and vendor management staff, and external service providers regarding building deficiencies and repair need as appropriate.
Education, Training, and Experience:
The following generally describes the knowledge and abilities required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties.
● High school diploma required, associate’s degree preferred. One year of experience in related facilities services work is preferred as preparation.
● A demonstrated ability to read, comprehend and transmit complex or detailed instructions
● Effective written (spelling/grammar) skills, computer proficiency (Microsoft Office, specifical proficiency in Excel & Word, etc.) are required.
● Basic knowledge of various office equipment/systems such as printers and copiers is necessary.
