You will be a part of a team responsible for making sure all administrative tasks are completed properly in a timely manner. Some duties include managing the purchasing of products and services for ESI Equipment, Inc- Apparatus Division. We are willing to train the right candidate and no experience needed!
We’re looking for a motivated and hard-working administrative assistant to join our team at ESI Equipment, Inc. The administrative assistant will be in charge of supporting our apparatus team while ensuring the goods and products needed for the functioning of the division are purchased and processed on time. You will be responsible for creating purchase orders, matching invoices, answering phones, customer service, manage accounts and perform bookkeeping.
Typical duties and responsibilities
- Assess products, services, and vendors
- Monitor office/kitchen supply stock and place orders as needed
- Answer phones, emails, and conduct basic clerical work
- Organize and update files as needed for accounting both electronic and physical
- Assist marketing with campaigns, social media content and administrative support
- Customer retention representative for our current customers
- Ensuring bills entered in a timely and accurate manner while adhering to departmental procedures
- Establishing and maintaining relationships with new and existing vendors
- Prepare communications such as; memos, emails, invoices, reports and other correspondence
Required skills and qualifications
- Strong analytical skills
- Attention to detail
- Ability to build and maintain relationships with clients and vendors
- Solid interpersonal and communication skills, both verbal and written
- Ability to multitask and manage multiple deadlines
- Proficiency with QuickBooks and Microsoft Office Suite tools
Preferred qualifications 1 years of administrative assistant experience
- Excellent written and communication skills
- Associate’s degree in related field preferred
- Previous experience managing purchase orders
- QuickBooks: 1 year (Preferred)
- Pre-employment drug test required
Job Type: Part-time
Pay: $19.00 - $25.00 per hour
Schedule:
- 4 hour shift
- Day shift
- Monday to Friday
