- We're looking for an Administrative Business Partner for our Head of Product Management here at client.
- You’ll work with senior leaders in Product to keep their teams organized and aligned.
- You’ll manage busy schedules and maintain great relationships internally and externally, and you’ll need to be an amazing communicator who’s passionate about details. You must have a deep administrative skill set and be highly organized.
- You should be able take initiative and work independently on projects overseeing a wide variety of activities and demands while maintaining discretion when dealing with confidential and sensitive matters.
What you'll do:
- Efficiently manage a busy schedule, expenses and occasional travel
- Manage and collaborate on projects and priorities for the Product Management organization
- Attend meetings, communicate agendas, take notes and hold accountability with action items
- Ensure that the priorities for the Head of Product Management are cascaded to the other ABP’s supporting the org and to the appropriate xfn business partners.
- Assist the EABP of the SVP of Products on managing logistics and supporting all senior EPD leadership combined offsites
- Partner closely with the E/ABPs to the SVP of Engineering, SVP of Product, and other EPD leaders for scheduling and ad-hoc projects.
- Support projects and workstreams, helping to delegate action items and holding self and others accountable to completing the tasks assigned
- Oversee and facilitate events, including content coordination, deck or presentation materials, and logistics management (scheduling, coordinating with IT/AV)
- Draft comms for the exec, including emails to the team, “top of mind” updates, talking points and scripting for internal or external speaking engagements
- Coordinate with business facing xfn partners on HR to confirm recruiting related meetings, navigate and orchestrate org changes, support change management
- Support coordination of onboarding meetings and materials for new hires within the exec’s leadership team
- Coordinate team morale events and activities for exec’s directs in collaboration with other admins within the organization
Skills:
- 4 years’ experience, ideally supporting a VP or Director level executive
- Proficiency in gSuite, Slack, MS Office Suite are a must. Proficiency in Coda, Expensify, Asana and Workday are a bonus.
- Excellent writing, communication, interpersonal skills
- Excellent organizational skills to execute multitasking in a fast-paced deadline oriented environment
- Ability to move quickly and make confident decisions while being a data-driven and analytical thinker
- Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
- Hands on experience handling tight deadlines, last-minute changes and ability to pivot quickly.
- Exceptional planning and organizational skills
- Excellent problem-solving skills and high attention to detail capabilities
- Team player with strong collaboration skills
