POSITION SUMMARY: Completion of all monthly and quarterly Accounts Receivable related functions and assist with Accounts Payable functions. Responsible for Title 3 reporting.
DUTIES:
1. AP input, producing cash requirements report, and check creation. Review, verify and insure approval of all invoices in accordance with policy. Prepare checks weekly for service workers and all vendors for Chief Executive Officer’s signature. Notify supervisor immediately of any questionable or unusual bills or transactions.
2. Prepare detailed copies for Title III billings
3. Research A/P overdue issues
4. Enter provider bills in accounting software
5. Prepare monthly and quarterly invoices for customer monthly billings including; Title 3, EOEA and other funding sources.
6. Accounts Receivable input and posting into the accounting software
7. Maintenance of documents comparing Accounts Receivables, payments received and awards
8. Maintenance and organization of Accounts Receivable and Accounts Payable filing system for all receivable/vendor/provider invoices and payments.
9. Accounts Payable expense allocation invoice coding
10. Mailing of checks and supporting documents
11. Prepare detailed, accurate copies of related expenses for City billing reports
12. Prepare annual 1099 and 1096 reports for tax purposes
13. Assist with Payroll functions.
14. Assist in annual audit.
15. Prepare ad hoc reports as needed.
16. Perform other related duties or projects as assigned by supervisor and be cross trained in other aspects of the Fiscal department.
17. As part of the Reception Primary Coverage Team, provide coverage for the receptionist’s lunch hour/coffee breaks and as needed for absence coverage.
QUALIFICATIONS:
1. Minimum of two years of bookkeeping experience in accounts receivable and accounts payable in an advanced computerized system.
2. Word processing and spreadsheets required. Experience working on computerized General Ledger systems required. Above average Excel skills required.
3. Minimum of High School Diploma with two years of experience in accounts receivable billing and familiarity with accounts payable coding; College degree preferred.
4. Excellent organizational skills.
5. Excellent written and verbal communication skills. Proven good judgment.
6. Thorough knowledge of Account Payable and Accounts Receivable applications to include verification, coding, adjustments, corrections, departmental allocations, check production and disbursement procedures.
