About the Contracts and Grants team
Evidence Action is seeking a proactive and highly motivated individual to support procurement and contracts administration in compliance with its Procurement Policy and best practices. The Associate, Contracts will oversee the entire procurement process including sourcing vendors, vendor communications, approval processes, and contract monitoring. The Associate will also be the point of contact for internal questions on the procurement process and contract management systems.
Key Responsibilities:
Reporting to the Director, Grants and Contracts, the Associate, Contracts will work closely with all departments to ensure the effective and compliant management of contracts.
Responsibilities include:
- Facilitating the procurement process for the U.S. Office.
- Assist with the compilation of requirements and specifications or scopes of work.
- Oversee the dissemination of RFPs/Q and coordinate any associated events (e.g. Q&A sessions, presentations from contractors etc.)
- Ensure adherence to the RFP/Q timelines both internally and externally.
- Serve as point of contact for vendor communications related to RFP/Qs, responding to
- questions concerning the solicitation, and facilitating responses from internal stakeholders when necessary.
- Facilitate and document vendor selection.
- Maintaining accurate records and documentation including in Evidence Action’s contract management system in Salesforce. (e.g. tracking payments against agreed contract value, alerting contract owners when contracts are expiring.)
- Reporting on key system metrics on a monthly basis to the Director.
- Manage contract approval workflow inc, initiating electronic signatures, and contract records management in compliance with organizational policy.
- Serve as internal point of contact for organizational procurements including for: procurement requests, process/procedure guidance and compliance documentation.
- Oversees organization compliance with screening vendors through appropriate Sanctions and Terrorists Watchlists.
- Trains new users on Sanctions and Terrorists Watchlists.
- Monitors system usage and reports on key metrics to the Director.
- Works closely with the finance team and other business units to monitor contract life-cycle.
- Other duties as assigned.
Requirements
- B.A. or B.S. with 0-3 years’ of relevant work experience; contracts management or international development experience a plus.
- Ability to demonstrate meticulous attention to detail in a fast-paced, complex work environment.
- Self-motivated team player who identifies gaps and works with diverse teams to problem solve.
- Excellent communication skills in English (both spoken and written).
- Positive attitude.
- Exceptional word processing skills (Microsoft word and/or Google Docs) required.
- Moderate to advanced knowledge of Excel.
- An unwavering personal code of ethics.
Preferred Qualifications:
- Experience working in Salesforce, Asana, Box, and Google Suite preferred.
