Job Summary


Prepares reports, correspondence, dictation, etc. for department staff utilizing word processing, graphical and spread sheet software. Registers and schedules patients in computer system. Receives, screens, and refers incoming calls.


Essential Job Functions


  • Transcribes and proofs diversified medical treatment reports, general correspondence, financial and business reports for medical and professional staff.
  • Prioritizes jobs waiting to ensure timely completion.
  • Files or distributes finalized work to appropriate location.
  • Prepares and distributes accurate monthly inpatient admission and discharge reports as assigned.
  • Maintains daily log that includes this information.
  • Requisitions department supplies utilizing the computer.
  • Requests additions/deletions to master supply list.
  • Requests special orders as required by department manager.
  • Receives, screens and refers incoming calls.
  • Assesses urgency of each caller's needs and refers to appropriate staff.
  • Pages physicians and staff as necessary.
  • Schedules patient appointments on computer system.
  • Confirms or cancels appointments as needed.
  • Calls scheduled evaluations prior to appointment date to confirm.
  • Modifies schedules as directed by clinicians.
  • Register patients on computer system.
  • Verifies patient information, utilizing special care regarding insurance.
  • Obtains patient signatures on consent forms and forwards to appropriate department.
  • Accepts co-pays and issues receipts forwards to appropriate department.
  • Posts daily charges to accounts via computer as assigned
  • Verifies that the scheduled service matches charge posted.
  • Enters cancellations, failures and no-shows when completing end of day procedure.
  • Verifies that managed care requirements are met when necessary.
  • Enters visits into the database program.
  • Utilizes means necessary to obtain authorizations for each visit.
  • Verifies that correct diagnosis code is entered on each account.
  • Updates diagnosis codes when indicated by clinician.
  • Reviews chart for proper diagnosis when necessary.
  • Performs routine clerical duties in accordance with standard procedures.
  • Files, photocopies, compiles records, and distributes mail.
  • Maintains records, prepares forms, verifies information and resolves routine problems.
  • Other duties as assigned.

Required Qualifications


  • High School Diploma, GED or higher level of education.
  • One (1) year experience in position requiring transcription skills.
  • Functional experience with personal computer and relevant software; and standard office equipment.
  • Strong leadership ability, good organizational skills, independent and critical thinking skills and sound judgment.
  • Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.

Preferred Qualifications


  • Medical Terminology
  • Registration experience in healthcare environment
  • Graduate of a medical secretary program

License, Certification & Clearances


  • Act 34-PA Criminal Record Check from the PA State Police system


Supervisory Responsibilities


  • This position has no direct supervisory responsibilities, but does serve as a coach and mentor for other positions in the department.

Position Type/Expected Hours of Work


  • Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.).
  • Travel may be expected locally between Independence Health System locations.
