The Spa Coordinator is responsible for maximizing the revenue for Tierra Santa. This position is responsible to deliver great customer service experience to groups and guests as well. Must be prepared to answer any guest inquiries with accurate knowledge to provide a 5 Star Service.

• Maximize revenue of treatments through Upselling, effective scheduling and replying to emails fast.
• Responsible of a personal email for communications with different members of the hotel and guests.
• Follow Forbes five-star standards when doing spa interactions in person, phone or email and helping guest with treatment bookings and questions.
• Act as an ambassador for the spa at all times.
• Keep close communication with the marketing team with everything related to monthly events and general menu offerings at the spa through the Spa Web page.
• Coordinate everything related to corporate groups visits to the spa; such as booking and billing.
• Main Contact for groups when they are in house, communicating constantly with the event coordinating and finance hotel team.
• In charge of Event Planning for monthly events guests’ registrations and distribution of promotional material by email.
• Fill out the Internal Meeting Request form for every event that needs to reserve the Spa Studio and be put on the hotel’s event calendar report.
• Blocking visual books times, arranging with vendor hosting, RSVP’s, Flyers, marketing online on conscious city guide, end of event reports, billing for events. Setting up the mobile register Itemized events on the Square app for all events.
• Special event booking- birthday parties, bachelorette parties, engagements.
• Prepare guest correspondence as per brand standards and ensure excellent presentation.
• Handle gift certificate inquiries and process their transaction as well as file their documentation.
• Create logs for monthly events and record attendance, payments and generate sales reports.
• Assist on Spa Studio preparation for monthly events and set up of needed equipment or supplies.
• Responsible for billing procedures of the Spa Studio rental fees to corporate groups and posting to their accounts as well as blocking the times on Spa Soft.
• Assist the reception team with daily operations when needed: retail sales, check in/out guests from treatments, spa tours to new guests, etc.
• Consistently record guest information and preferences, accurately updating guest profile.
• Assist management with implementing miscellaneous projects to help with various needs such as: visuals, training, sales, operations and others as needed.
• Represent the spa in meetings as needed by management and carry the message talked to the rest of the staff.
• Collaborate with other hotel departments to ensure guest needs are met and communicated.
• Investigating billing errors in the spa and reporting to finance any results.
