Human Resources Training Administrative Assistant

The Training Assistant (TA), plays a crucial role in supporting the training and development initiatives within the organization. The TA will work closely with the HR Manager, Training to ensure the smooth execution of training programs and activities aimed at enhancing the skills and knowledge of our employees. Responsibilities will include scheduling training sessions, booking venues, managing training materials, and providing logistical support to ensure smooth program delivery. Additionally, this position will assist in the creation and distribution of training materials, maintain training databases, and compile reports on training activities and outcomes. This requires attention to detail, strong organizational skills, and ability to collaborate effectively will contribute to the success of our training programs and the professional growth of our employees.

POSITION SPECIFIC DUTIES & RESPONSIBILITIES:    

  • Provide administrative assistance to the training manager in organizing, scheduling, and coordinating training sessions, workshops, and events. This may include managing calendars, scheduling rooms, and preparing training materials.
  • Assist in logistics planning for training programs, including arranging travel accommodations for trainers and participants, booking venues, and ensuring all necessary resources are available for each session.
  • Serve as a point of contact for training-related inquiries from employees, trainers, and external vendors. Communicate training schedules, requirements, and updates effectively to all stakeholders through various channels such as emails, newsletters, and internal communication platforms.
  • Assist in the preparation and distribution of training materials, including presentations, handouts, manuals, and multimedia resources. Ensure all materials are accurate, up-to-date, and aligned with the objectives of each training program.
  • Provide technical support during training sessions, including setting up audiovisual equipment, troubleshooting technical issues, and assisting participants with accessing online training platforms or resources.
  • Assist in collecting feedback from participants and trainers to evaluate the effectiveness of training programs. Compile feedback data and assist in analyzing results to identify areas for improvement and make recommendations for future training initiatives.
  • Maintain accurate records of training activities, attendance, and evaluation results. Generate reports on training metrics, such as participation rates, feedback scores, and training effectiveness, for review by management.
  • Stay informed about agency and industry trends, best practices in training and development, and new technologies relevant to corporate learning. Continuously seek opportunities to enhance your own skills and knowledge in the field of training administration.

QUALIFICATIONS

Education:

  • Must be a high school graduate or have HS equivalent
  • Bachelor's degree preferred

EXPERIENCE:

  • Prior experience in administrative support roles, preferably in a corporate training or learning and development environment.

CERTIFICATIONS/LICENSES:

    • Must possess a valid Driver License and satisfactory driving record and use personal automobile to travel to locations other than primary office. Proof of automobile insurance required.
