Description of Primary Responsibilities
- Responsible for maintenance of employee personnel, and medical/leave of absence scanned files.
- Scans and organizes files and documents in the correct file.
- Assists with new hire processing.
- Conducts all required pre-employment verifications and processing using checklist.
- Submits Network Access requests and announces new hire roster.
- Enters new hire information in the HR system following procedure and meeting deadlines.
- Responsible for non-employee processing and tracking.
- Makes sure contracts are active and on file for non-employee/extern before processing.
- Conducts orientation and submits Network Access requests.
- Enters non-employee information in the HR system following procedure and meeting deadlines.
- Responsible for the exit interview process for employees who voluntarily resign.
- Schedules exit interview meeting and prepares necessary paperwork.
- Meets with the employee to distribute final check and paperwork and to gather FHCN equipment, keys, and badges.
- Sends request to terminate network access.
- Tracks and sends renewal of license reminders, I-9 documentation reminders, department orientation and competency reminders, PPD and CPR renewal notifications for employees and non-employees.
- Follows procedure and meets deadlines.
- Responsible for performing various data entry duties.
- Follows procedures and meets deadline for entering PPD, CPR, department orientation, competencies, licenses, benefit enrollment, and other data as assigned.
- Responsible for assisting the team with department clerical duties and event coordination.
- Books meeting rooms.
- Submits purchase orders.
- Processes employee personal information changes.
- Prints employee and non-employee badges.
- Responds to verification of employment requests.
- Assists with audits as assigned.
- Monitors HR inbox and eFax. Distributes correspondence to appropriate HR team member.
- Assists employees with HR related questions or refers them to appropriate HR team member.
- Responsible for assisting with Employee Recognition programs.
- Assists with annual Tenure Awards.
- Completes Employee of the Month and Year processes.
- Creates monthly anniversary cards.
- Assists with the clerical processing of leaves of absences.
- Prepares leave of absence packets.
- Mails all leave related correspondence.
- Updates and maintains leave of absence report.
- Responds to supervisor follow up questions on return to work statuses.
- Sends notification emails to Supervisors and IS.
- Prepares and formats leave of absence report for daily distribution to Payroll.
- Performs other duties as assigned.
Description of Primary Attributes
Professional & Technical Knowledge:
- Must possess a high school diploma or General Educational Development (GED) certificate.
- Job duties require specific knowledge of Human Resources processes and practices, typically learned on the job or through training.
Technical Skills:
- Ability to prepare basic correspondence and simple reports in Microsoft Word.
- Ability to use Microsoft Excel to create tables and simple displays of information.
- Ability to create basic presentations in Microsoft PowerPoint.
Licenses & Certifications: None required.
Communications Skills:
- Job duties require the employee to effectively communicate routine or non-technical information to co-workers and others.
- Effectively communicates written information (including electronic correspondence) and verbal presentations.
