    Salary Schedule: Classified Support Staff
    Wage Group: Group 6 $19.73 - $25.17 per hour DOE


    Summary:
    Serve as administrative assistant to the director of the Adult Learning Center and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping, scheduling teacher substitutes, process payroll reporting forms, and monitor budget reports.
    Responsibilities:
    1. Statement of Responsibility: Communications.
    Priority: Essential Percent of Time: 70 %
    Examples of this work include:
    Communicates, collaborates, and cooperates with teachers, specialist, support staff, students, parents, and community.
    • Communicates and collaborates with community agencies.
    • Maintains Adult Learning Center Website
    • Coordinates staff communications as directed by administrator.
    • Arrange Staff Meetings, creates agendas and takes meeting notes.
    • Make Staff Handbooks
    • Respond to staff queries and needs.
    • Liaison with Department of Public Instruction
    • Participates in NDALL Conferences and Meetings


    2. Statement of Responsibility: School Staffing, Facilities Coordination and ALC Budgets
    Priority: Essential Percent of Time: 10%
    Examples of this work include:
    • Assist in hiring employee process (interest forms > posting > interviews >)
    • Payroll Process, collect and verify time and attendance (hourly staff ALC, Dakota HS, and other programs as assigned).
    • Assist in preparation of reports replated to ALC material (FPS administration, state and national levels)
    • Provide data to internal and external sources, serving as a positive public relation advocate for the school district.
    • Helps prepare and monitor budgets and grants.
    • Disseminate school and confidential information such as information relative to cultural backgrounds, academic or medical histories.
    • Maintains accurate files, records and grant applications and follow through daily, weekly, and monthly.
    • Arranges interpreters, consultants and substitutes and submits payroll as needed
    • Maintains school schedule.
    • Monitor and submit monthly expense transactions

    3. Statement of Responsibility: Enrollment, Registration and Assessments
    Priority: Essential Percent of Time: 10%
    Examples of this work include:
    • Assess and register new students.
    • Enter student data into LACES or other student management databases.
    • Maintains and reviews student records and test scores for accuracy.
    • Run end of year report from LACES to verify that all data is accurate.
    • Ensure data is updated timely and produce reports throughout the school year that is shared with administrators, staff, and the public.
    • Conduct benchmark assessments and enter into LACES.
    • Trains for and serves as a GED Administrator and Best Examiner
    • Prepare and submit reimbursements for GED exams.

    4. Statement of Responsibility: Instructional Resource Support
    Priority: Essential Percent of Time: 10%
    Examples of this work include:
    • Assist in the acquisition, organization, and distribution of instructional materials, including textbooks, digital resources, software, and supplementary learning aids.
    • Provide technical support and guidance to educators in utilizing educational technology tools, learning management systems, and software applications for instructional purposes.
    • Maintain an updated inventory of resources, tracking their availability, condition, and usage.
    • Collaborate with specialists, teachers, and administrators.
    • Collaborate with the IT department to troubleshoot technical issues related to instructional resources and ensure seamless integration into the learning environment.
    • Arranges staff travel accommodations as needed.
    • Organize bus schedules for field trips.
    • Assist in placing and scheduling volunteers.
    • Participates in all mandatory training or training appropriate to the position.

    Knowledge, Skills, and Abilities
    Minimum Qualifications (expected to have to enter job)
    • High School Diploma
    • Two or more years of related experience and training in schools. Must have experience with word processing, filing, office machines and computer software programs (WORD, PowerPoint, Excel, Google Documents/Spreadsheets)
    • Ability to collaborate with teachers, principals, counselors, district office staff while working independently on complex processes.
    • Mathematical skills, ability to add, subtract, multiple, divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, percent, draw and interpret graphs.
    • Knowledge of school process, community support organizations, and trauma informed best practices.

    Relationships
    This position reports to: Adult Learning Center Director.

    Example: Personal contact with students, staff, parents/guardians, faculty, and administrators is an essential part of the position and requires the ability to share information and must be sensitive to people and their needs. The position may handle confidential and private data.

    Work involves differing situations and the ability to rapidly access and prioritize competing demands. It is important to identify the problem and resolve it promptly and tactfully and in a customer service-oriented manner that builds partnerships and bridges with stakeholders.

    The incumbent performs tasks under the direction of a certified teacher and responds to day-to-day needs, answer questions, and responds to emergent issues. Non-emergent issues are discussed with the Teacher or Building Principal. The incumbent takes the initiative to ensure completion of all tasks and will adjust priorities to accommodate competing workload demands.
