Office Manager and Inside Sales Representative

FASTSIGNS in Arbutus is looking for the ideal candidate to join our team as an Office Manager and Inside Sales Representative.
Summary:
As the Office Manager, the person is responsible for the efficiency, profitability, and overall performance of the FASTSIGNS Arbutus, MD center. The manager’s duties relate to staffing and personnel, inside sales, inventory management, customer service and satisfaction, scheduling, and store billing. As the Inside Sales Representative, the person is responsible for all inside sales as well as some time prospecting sales through community or business networking events.
The Office Manager and Inside Sales Rep reports to the owner, Leigh Rand.
Responsibilities:
Employees
1. Assist owner in onboarding new employees. Train, motivate, schedule, and coach employees. Resolve personnel disputes and related problems privately and in a timely manner. Participate and provide input in semi-annual performance reviews. Provide immediate coaching as necessary.
2. Implement and manage employment related bonus programs, including incentives. Post sales goal and motivate employees to reach sales goal.
3. Schedule and facilitate center meetings as needed. Participate in bi-weekly sales meetings.
4. Oversee overall schedule and workflow between sales and production. Manages POS system and printing daily work orders for installers.
5. Acts as first point of contact for all employee related issues. Consults with and/or escalates issues to Leigh Rand.
Customers
6. Point of contact for walk-in, email, Ecommerce, and telephone sales and inquiries. Communications with customers are courteous and professional at all times.
7. Evaluate and maximize quality customer service and high customer satisfaction. Monitor customer survey results and address any negative feedback in our surveys immediately. All customer satisfaction issues are to be resolved immediately.
8. Maintain 90% customer satisfaction ratings based on survey responses.
Operations, Sales & Marketing
9. Assist with implementing store marketing program using Monthly store Fastmail with promotion.
10. Lead and referral follow-up, estimation preparation with follow-up.
11. Create/Maintain pricing and proposal models
12. Collect 50% deposit from clients on all jobs
13. Always meet customer requirements and expectation to up sell when appropriate.
14. Manage CRM database (Click-to-Sell) accuracy and efficiency.
15. Manage the inventory purchasing process.
16. Coordinating custom orders with outside sales as needed. Manage inside sales for “house accounts”; determine pricing, order materials and schedule work. Review large subcontract orders for accuracy.
17. General knowledge of design and production. Able to step in when overflow work is needed.
18. Monitor center opening and closing procedures.
19. Know center financial benchmarks and monitor WIP Summary accuracy. Achieve financial benchmarks for Fastsigns and ensure jobs are in correct phase.
20. Adhere to all company policies, procedures and business ethics codes.
21. Manage store maintenance including cleanliness, safety and organization.
22. Meet monthly sales goals
Administrative:
22. Responsible for paperwork: POS entry, Work Orders, Credit Approval, Payments and AR’s, Artwork approval, and reporting.
23. Responsible for Collections of Accounts Receivables
24. Maintain an attractive retail environment.
Attributes/Skills Required:
1. Academic and Experience Qualifications: High School Diploma, some college. 3 years experience in customer service, accounts receivables and invoicing. 2-3 years of office management experience.
2. Proficient with Microsoft Office and POS type systems.
3. Ability to resolve problems, handle conflict and resolve complex communication issues in a calm manner.
4. Ability to communicate providing verbal feedback in a professional manner
5. Communicate in a positive way with customers, employees, and vendors.
6. Personable: Ability to interact with a wide variety of people from all backgrounds and walks of life. Puts people at ease.
7. Demonstrates effective leadership skills and take-charge attitude. Willing and able to effectively handle business decisions.

Salary: starting at $50,000 annually, Bonus tied to Sales Goals
