The Executive Assistant role will provide administrative support to a group of Senior Executives located in multiple locations across the US including both remote and in-office locations. This role will be responsible for anticipating the needs of the leaders they support, enabling their capacity, and ensuring focus to support our collective success.
Responsibilities include managing correspondence, scheduling meetings, organize conference calls, calendars, and appointments. The position will manage travel, meeting agendas, and scheduling of events. The Executive Assistant will support the development of materials to be utilized both internal/ external by the organization to include information tracked and content developed in MS Word, Excel, PowerPoint, and other proprietary applications.

What you will do for Fay:
- Schedule and organize a series of activities such as meetings (virtual and in-person), conference calls, travel, conferences, and other required engagements
- Support and manage correspondence internal and external to the organization
- Organize and prioritize incoming and outgoing information, outreach, and engagements
- Draft and prepare general communications, memos, and other published information; proof and quality check documents prior to executive review; organize routines; set up and manage systems for development and distribution on behalf of the executives supported
- Develop presentations, obtain needed data and information, aggregate content, facilitate reviews, publish and distribute information as needed
- Prepare, reconcile and track expenses; organize related reporting; manage invoices; submit expense reimbursements where appropriate. Summarize and chart data as requested
- Support research of budget items; follow up on data to support update and reconcilement
- Serve as a liaison with other departments and outside organizations including: other company executives, public officials, agency representatives, and/or community leaders
- Appropriately manage confidential and non-routine information; exercise strong judgment to ensure appropriate escalation and/or review; articulate and explain Fay policies and/or protocols as directed
- Work independently and on teams for special ad-hoc and ongoing projects. Responsibilities may include: event planning, meeting coordination, organization of presentations, disseminating reporting and/or information, coordinating and executing communication plans
- Prepare meeting agendas, take detailed minutes, and prepare and distribute summaries and/or minutes documentation
- Develop and document standard processes for routine activities; surface ideas and solutions for process improvement
- May supervise other members of the Administrative Team
- Develop domain knowledge of Fay’s businesses to include an understanding of short-term goals and long-term strategies for the organization
- Maintain broad influence through the ongoing development of relationships across the organization
- Ensure compliance with Fay’s policies, processes, and practices
- Role model ethical standards, professionalism, and code of conduct. Maintain confidentiality of the information and ensure the privacy of executives supported
- Perform other duties and responsibilities as assigned
What you will bring to Fay:
- Bachelor’s degree (or equivalent combination of years of experience with High School diploma/GED)
- 7-10 years of demonstrated experience supporting senior executives including individuals at the C-Suite level
- Solid project management skills
- Strong technical skills and demonstrated experience with MS Office including Outlook, Excel, Word and PowerPoint
- Strong verbal and written communication skills with the ability to effectively interact with all levels of individuals both internal and external to the organization
- Strong interpersonal skills with the ability to develop and maintain effective relationships across the organization
- Strong organization and planning skills; ability to effectively multi-task and prioritize activities
- Collaborative workstyle; demonstrated ability to work effectively with cross-functional teams
