About the Opportunity
The Corporate Accounting and Corporate Planning Department of the Federal Reserve Bank of Richmond is looking for an Executive Administrative Assistant. Reporting to a Senior Vice President, you will provide administrative support including preparing, revising, and developing documents; maintaining and/or monitoring calendars, files, emails, deadlines and appointments; making travel arrangements; coordinating meetings and events; maintaining databases; acting as a liaison to other departments; and completing assigned projects.
What You Will Do:
Serve as the focal point for coordinating Corporate Accounting and Corporate Planning activities and the timely completion of key department deliverables
Perform a variety of highly complex administrative and business support activities; anticipates and manages workflow, and coordinates upcoming deliverables with leaders and team members
Serve as primary contact for management of the CFO’s inbox and calendar; prioritize emails and tasks and ensures timely completion of deliverables; act and respond on CFO’s behalf where appropriate
Support CFO and department officer participation in Fifth District and other Federal Reserve System meetings, workgroups, and projects; regularly interacting with Federal Reserve and external senior executives
Proofread often confidential documents to ensure crisp, clear and concise content; review and edit documents and presentation materials for consistency and continuity; identify and correct data discrepancies
Provide meeting and travel support for the CFO, including scheduling rooms, managing invitation lists, escorting visitors, coordinating room set-up, and arranging transportation and hotels
Provide guidance to Corporate Accounting and Planning team regarding officer communication, scheduling, and priorities
Perform purchasing and payment activities for the department, working within established guidelines to ensure compliance with Federal Reserve policies and timely payment of invoices.
Maintain department records to meet requirements of audits and operations reviews.
Perform complex analyses of business support activities to continuously improve processes and practices; ensures that processes and practices adhere to relevant policies and compliance requirements
Actively participate on workgroups for the Department, Fifth District, and Federal Reserve System levels
Qualifications:
High school diploma or GED
Minimum 5 years of prior administrative assistant experience
Ability to organize, prioritize and manage multiple tasks/projects and meet deadlines including the management of multiple calendars and inboxes to ensure the completion of key deliverables
Experience communicating verbally and in writing while collaborating effectively with multiple stakeholders at all organizational levels
Ability to apply business savvy and sound judgment in dealing with complex and often sensitive situations
Attention to detail and ability to work with precision
Ability to anticipate and solve problems in practical, creative ways
Command of MS Office products (i.e. Word, Excel and PowerPoint) and the analytical skills to put them to full use
Ability to respond to internal or external requests for information in a timely manner
