Job Description:
The Entry Level Procurement Analyst will be responsible for assisting the Manager with the procurement processes. The Procurement Specialist is ultimately responsible for overseeing and managing nearly every aspect of purchasing services. The Procurement Specialist is to be focused on achieving the daily objectives and delivering the end results expected from management.
Negotiate Contracts: In order to keep the bottom line down, the procurement specialist will have to engage in a number of negotiations with vendors. He or she will work with other companies to find the lowest possible prices, sometimes promising future relationships in exchange for the lowest costs on their necessary goods. This requires a great deal of knowledge and attention to detail.
Maintain Client Relationships: Procurement specialists also must maintain positive relationships with their vendors. Often if an order is late or a price has changed, the procurement manager will have to contact their vendor and address the problem personally. This is best done with a reliable contact, so it helps when the procurement manager knows whom to contact in order to get things done correctly.
Assess Financial Performance of Products: Those who work in procurement and purchases are intimately familiar with the outgoing costs of their company. Because of that, they are often called upon to answer questions about the financial performance of the services they order. Procurement specialists should be able to assess whether their current purchases are performing well enough to justify their costs, and may be asked to offer suggestions as to more cost-effective services that can help lower the company’s bottom line.
Procurement specialists must maintain current and relevant knowledge about every aspect of their company’s costs. The individual tasks that are necessary to establish this knowledge may vary, but the responsibility remains the same. Procurement specialists keep the service flowing that keep their companies running.
· Purchase the highest quality services at the lowest possible price.
· Solicit bid proposals and review requisitions for services.
· Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier's reputation and history.
· Analyze price proposals and other data and information to determine reasonable prices.
· Negotiate, or renegotiate, and administer contracts with suppliers, vendors, and other representatives.
· Confer with staff, users, and vendors to discuss defective or unacceptable services and determine corrective action.
· Evaluate and monitor contract performance to ensure compliance with contractual obligations and to determine need for changes.
· Write and review technical knowledge of the services to be purchased.
· Monitor changes affecting supply and demand, tracking market conditions, price trends, or futures markets.
· Formulate policies and procedures for bid proposals and procurement of goods and services.
Qualifications:
·Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Pro (Required).
·Ability to work independently with minimal supervision.
·Ability to prioritize tasks and manage multiple projects simultaneously.
·Ability to communicate effectively both verbally and in writing.
·Strong organizational skills with ability to multi-task and work independently as well as within a team environment.
·Ability to work under pressure and meet deadlines with minimal supervision.
·Ability to work well under pressure and under deadline with great attention to detail.
