What are the responsibilities and job description for the Wealth Administrator position at First Carolina Bank?
POSITION PURPOSE
This role exists to aid the Managing Director and Trust Officer-First Carolina Wealth in the daily operation of the department.
RESPONSIBILITIES
- Provide administrative support to Managing Director and Trust Officer– FCW, including documentation and reports
- Initiate account distributions and transactions per dual control requirements
- Track daily activities in partnership with Capital Advisory Services (CIAS)
- Support FCW team with client and internal relationships
- Process client requests for account maintenance, including reaching out to appropriate individual(s) for assistance with more advanced requests
- Support FCW team with third-party vendor relationships including CIC, CIAS, BNY Mellon, HWA International and others
- Assist with reconciliation of Wealth-associated internal accounts/General Ledgers and complete monthly wires/ACH for management fees
- Assist with internal bank reporting, including requests from the Finance Department
- Assist with daily reconciliation of BNY Mellon custody report through HWA International
- Assist with drafting and maintenance of departmental procedures
- Assist with development and maintenance of marketing material, including, but not limited to, prospect presentations, PowerPoint decks, ordering supplies, and putting together marketing packages
- Assist FCW team with Bank training on Wealth services
- Assist with administrative needs of Wealth referral program
- Assist with compliance between the Bank, CIC, CIAS, BNY Mellon, and HWA International
- Assist with internal and external audits
KEY RELATIONSHIPS
- Routine interaction with Managing Director and Director—FCW, Chief Operating Officer, Chief Financial Officer, Finance Associate, Chief Compliance Officer, Marketing Specialist
- Interaction with President & CEO, Managing Director – CRE, Managing Director – C&I, Director – Human Resources, Corporate Treasurer, Region Manager – Retail Banking
- Some interaction with Lenders, Senior Banking Officers, Branch Supervisors, Customer Service Representatives, Universal Bankers
- Some interaction with Director – Operations/IT, Deposit Operations Manager, Banking Operations Specialist, IT Specialist
- Interaction with clients
- Interaction with third party vendors, including CIC, CIAS, BNY Mellon, and HWA International
- Interaction with internal and external auditors (as needed)

- Timely and quality client communication and service delivery crucial to client satisfaction.
- Attention to detail necessary in all activities, such as reconciling accounts for Reg 9 regulatory reporting.
- Full and correct documentation of all department activities for files necessary for litigation risk avoidance.
- Failure to meet deadlines on projects could result in additional charges & impact functionality
- Failure to maintain updated policies & procedures could result in less than satisfactory internal & external compliance audits

JOB SPECIFICATIONS
Position adheres to confidentiality policy, code of ethics and knowledge of Bank Secrecy Act and best practices. Knowledge of and adherence to all Regulatory Agency guidelines is a requirement
Required
- Bachelor’s Degree in Finance, Business Administration, or similar curriculum; OR six years’ administrative experience in banking department of either wealth, trust, finance, or accounting; OR six years’ administrative experience with trust/investment company
- Interest in financial and fiduciary solutions
- Excellent written and verbal communication
- Excellent MS Office skills, including Excel, Powerpoint and Word
- Attention to detail and organization
- Ability to multitask and prioritize workflow
- Problem solving skills
- Self-motivated
- Service oriented
Preferred
- At least three years’ trust/wealth administration experience
- Prior Trust Accounting Software experience
- Database management experience
- Understanding of Bank/Trust regulations
