First Christian Church in Lawrence, Kansas is seeking an energetic, personable, and conscientious Christian to serve as our Church Administrative Assistant. We are looking for someone with an active faith in Christ and a pattern of involvement in a local church who is organized, diligent, and proficient in Word Office Suite applications, especially Word, PowerPoint, and Publisher. The person serving in this position must be able to work independently while maintaining good communication with other church staff members. Familiarity with ProPresenter, Planning Center, and Power Church is desirable; the ability to learn how to use new software quickly and well is essential. Attention to detail is a must; creative or artistic sensibilities are a plus. See the job description for more information about the responsibilities and qualifications.

Normal office hours are Monday to Thursday, 8 am to 4 pm, with an hour provided for lunch; Friday, 8 am to noon. The Church Administrative Assistant is a part- to full-time position (32-40 hours per week).

Administrative Assistant Job Description

Job Title: Administrative Assistant Reports to: Senior Pastor

Full Time: (32-40 hours per week)

SUMMARY

This position oversees the business functions and the daily operations of the church. The Administrative Assistant will maintain good public relations by representing the church online, on the phone, and in person. He/she provides clerical support to the ministry staff and various boards as needed and is responsible for producing a variety of church publications. He/she manages and maintains the office files, master calendar, and church records in an organized manner. He/she prepares various documents and reports as needed and manages business, financial, and organizational files and personnel records. This position also covers some of the facility management in conjunction with the Trustee Board. This is an 32-40 hours per week position with some flexibility depending on seasonal demands.

PRIMARY RESPONSIBILITIES (examples of duties and responsibilities):

Communication

  • Manages and maintains the telephone and voice mail messaging systems and office e-mail.
  • Answers telephone, screens calls, takes messages, and relays calls appropriately.
  • Provides timely distribution of information to pastors, staff, boards, and congregation.
  • Produces, creates, updates, and distributes weekly and monthly publications, correspondence, documents, forms, brochures, bulk mailings, packages, PowerPoint presentations, and other materials for staff and ministry teams.
  • Updates bulletin boards, posters, and displays as requested.
  • Assists Worship Tech team with editing the service recordings and prepares them for posting to website when needed.
  • Assists with website and social media updates and maintenance.

Office operations

  • Operates office machines, enters and processes information from the church’s information systems.
  • Assists with copying and preparing printed materials, ProPresenter slides, and video/slide presentations for church services.
  • Maintains supplies for the church office and ministries.
  • Maintains and updates membership and other significant church records.
  • Schedules and coordinates use of the facilities and works with the webmaster to maintain the master calendar.
  • Provides clerical assistance to the pastoral staff as able.
  • Trains and supervises volunteers to assist with routine office duties.
  • Provides Giving Tree staff with clerical assistance when needed, including helping with occasional car-side drop-off.

Business

  • Serves as a non-voting member of the Trustee Board.
  • Maintains official record of Trustees’ decisions and transactions.
  • Manages church records and documents, including all files pertaining to the church finances, organization, business, and facilities.
  • Manages organizational administration including renewals and bid processes for new equipment and services.
  • Maintains and prepares personnel files; completes and submits payroll audit information to the insurance company.
  • Reviews and renews insurance policies; submits insurance claims.
  • Completes compliance reporting for online and background checks.
  • Helps maintain the access/security system.
  • Helps Trustees monitor and maintain vendor contracts and vendor relationships and advises Trustee Board prior to renewal dates.
  • Takes minutes at annual congregational meeting.

Finance

  • Oversees and coordinates the weekly counting and deposit of offerings and other income.
  • Receives vendor invoices and submits to bookkeeper.
  • Collects and reviews personnel timesheets and submits to bookkeeper

Other

  • Receives visitors and inquirers, provides information, and exhibits general hospitality.
  • Performs other duties as directed or required.

Qualifications

Required Qualifications

A follower of Jesus Christ, whose faith, lifestyle, habits, and attitudes are consistent with biblical teaching and reflect a life of discipleship that is growing toward spiritual maturity and conformity to the image of Christ.

Personable, cheerful, considerate, and able to work well as a member of the team when engaging with the staff and the public.

Willing to serve the pastors, other church staff, church leaders, church members, volunteers, and visitors as needed.

Well-organized with the ability to prioritize duties and projects.

Able to take direction, to take initiative, and/or direct others as needed to complete projects and tasks.

Honest and clear when communicating needs, expectations, questions, concerns, and ideas.

Punctual, conscientious about use of time, and responsive to time-sensitive needs and deadlines.

Careful to maintain strict confidence when appropriate.

A working knowledge of filing systems, office machines, copiers, and other office systems.

Proficient in Microsoft Windows, Office, and Google applications, especially word processing, spreadsheet, and desktop publishing programs.

Proficient in the development of PowerPoint presentations and use of social media.

Strong verbal and written communication skills, including the ability to write or edit written material with correct English grammar.

Capacity and desire to learn new skills as needed.

Competence in scheduling and supervising office volunteers.

A useful understanding of accounting.

Capable conflict management skills.

Able to pass a background check with the Kansas Bureau of Investigation.

Preferred Qualifications

Willing to regularly attend First Christian Church.

Experience with website and social media maintenance.

Able to maintain good humor and patience when dealing with difficult people or demanding circumstances.

Pay: $18.00 - $22.00 per hour
