Administrative Support III/Technical Writer

Location: Marine Corps Logistics Base (MCLB), Albany, GA

Administrative Support III/Technical Writer supports the Program Manager Tactical Communications and Electronic Warfare (PM TCE) Program Management Office (PMO) by performing administrative support.

The candidate:

  • Must have knowledge with the Joint Travel Regulations (JTR); Department of the Navy (DON) Correspondence Manual (SECNAV M-5216.5); MCO 5216.20B Headquarters Marine Corps (HQMC) Supplement to the DON Correspondence Manual; U.S. Government Printing Office (GPO) Style Manual; Marine Corps Records Management 5210.11F, and the MCSC Acquisition Guide (MAG).
  • Review and edit correspondence and documentation for clarity, effectiveness, grammar, spelling, punctuation, and format to ensure compliance with the DON Correspondence Manual, MCO 5216.20B, the GPO Style Manual, and the MAG as well as any published PM templates and/or Style Guides.
  • File documents and correspondence in filing cabinets and/or upload electronically to the appropriate PM TCE shared drive or SharePoint site, in accordance with Marine Corps Records Management 5210.11F and PM or PO specific TCE procedures.
  • Provide advanced technical writing and editing support for formal Acquisition Documentation from the PMO/PO and shall ensure consistency, format, language, grammar, and technical accuracy in keeping with the DoD 5000 and MAG.
  • Coordinate with PMO project teams from documentation inception through PMO approval in order to facilitate a prompt PM-level review and signature process. Assist in the holistic documentation process and maintain electronic libraries as needed.
  • Prepare drafts of official messages using the Automated Message Handling System (AMHS). Review and edit official message traffic for proper format, punctuation, and grammar. Upon Government approval of official messages, release the approved message traffic via the AMHS. Maintain an AMHS account and take associated annual training.
  • Assist personnel with completion of administrative requirements for official travel, to include reviewing Defense Travel System (DTS) authorizations and vouchers submitted by Government travelers. Ensure DTS document compliance with the current version of the JTR, and then forward the documented authorizations and vouchers for the next level of review. Coordinate with the PMO Organizational Defense Travel Administrator (ODTA) on required annual travel trainings and required training documentation for all Government personnel within their responsible teams to ensure personnel receive the travel training and their records are properly documented.
  • Compile, route, disseminate, and file staff action packages in accordance with SECNAVINST M5216.5, all applicable Command policies, and PM TCE procedures.
  • Transmit security clearance information and process visit requests for Government personnel.
  • Using Microsoft Outlook and/or Teams, schedule meetings and manage calendars for the TCE PM, and Deputy PM. Provide any Government developed hard-copy read-ahead material to the TCE PM and Deputy PM.
  • 3-10 years of experience (with a bachelor’s degree) supporting Government administrative tasks in support of all aspects of Government programs. 15 years of experience in lieu of a bachelor’s degree.
  • Proficient in the use of Microsoft SharePoint and the Microsoft Office Suite.
  • An active DoD Secret clearance.
  • Will be required to follow all Federal COVID-19 protocols as they pertain to contractors.

Physical Requirements:

  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Light to moderate lifting may be required.
  • Regular, predictable attendance is required; including quarter-driven hours as business demands dictate.
