Administrative Assistants (AA) will provide support to executive management and senior management. The ideal AA will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, time management, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The AA must have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and tasks. The executive AA must understand and practice the importance of discretion and confidentiality.

Essential Duties and Responsibilities:

  • Provides administrative support to the executive management team including but not limited to maintaining executive calendars, appointments, and written or verbal correspondence.
  • Answers the executive office phone and direct calls to the appropriate executive.
  • Serves as the first contact for all of the executive office guests.
  • Maintains conference room calendars and executive car(s) calendar.
  • Maintains the supplies of the executive office.
  • Assists administrative team with communications to and from the executive office.
  • Maintain the credit union's organization chart.
  • Maintain and escalate as needed, emails that come into the Contact the CEO email address.
  • Maintains contact information of executives, Board of Directors and Committee members..
  • Assist in the overall event planning for credit union business meetings, such as board meetings, supervisory meetings and other meetings and other events as designated that are held at the credit union organized by executive management team or hosted by the credit union.
  • Flexible to work on weekends or variable schedules based on the need.
  • For the executive team maintain expense reporting, tracking of donations, and the process of onboarding new SEGs (select employee groups).
  • Responsible for the upkeep of the boardroom and executive area.
  • Assists the administrative team with preparation of meetings including board meetings, management meetings, budget meetings, forums, Etc.
  • Record and produce accurate and detailed meeting minutes; expectation that minutes are distributed to meeting attendees within two business days of the meeting.
  • Assists executives with planning of approved travel or conferences.
  • Produce reports as directed by management.
  • Assists in planning and providing support for the annual board of directors' retreat.
  • Participates in available credit union self-development education programs and required compliance courses through self-study, online university, and the credit union's training department.
  • Assists administrative team with assignments in support of the Credit Union's objectives.
  • Supports the credit union's goals by contributing to the success of the credit union's business objectives.
  • Performs other duties or special projects as required or as assigned by executives.
  • Adheres to the FHCU Service Standards as established.
  • Ability to come into the office Monday to Friday.

Qualification Requirements

Educational/Training Requirement:

  • Associates or Bachelor's Degree Preferred
  • High school diploma or GED

Experience:

  • A minimum of 5 years' experience required

Licenses/Certifications:

  • None

Knowledge, Skills, and Abilities:

  • Ability to develop adeptness in credit union software programs
  • Highly proficient in Windows and Microsoft Office (Word, Excel, and PowerPoint, Outlook, Teams)
  • Detail oriented
  • Excellent communication and interpersonal skills
  • Ability to multitask
  • Ability to work independently
  • Business attire is required

The physical demands require a person to sit or stand for extended periods of time and perform repetitive hand movements on a keyboard
