Duties
- Answer and direct phone calls in a polite and professional manner
- Manage office calendar and schedule appointments and meetings
- Maintain office supplies inventory and place orders as needed
- Assist with the preparation of reports, presentations, and other documents
- Organize and maintain physical and digital files and records
- Oversee office maintenance and ensure a clean and organized workspace
- Coordinate with vendors for office equipment repairs or maintenance
- Assist with onboarding new employees and providing necessary administrative support
- Perform other administrative duties as assigned
Skills
- Proficient in using phone systems and handling multiple phone lines
- Strong office management skills with the ability to prioritize tasks effectively
- Excellent schedule management skills to ensure all appointments and meetings are properly coordinated
- Highly organized with great attention to detail to maintain accurate records and files
- Familiarity with standard office procedures and equipment
- Proficient in using computer software such as Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
- Experience in vendor management, including coordinating repairs or maintenance services
- Excellent phone etiquette with the ability to communicate professionally with clients, customers, and colleagues
