The position reports to the Director, Flight Operations 

Responsibilities include:

The Executive Assistant provides high level administrative support to FirstEnergy flight department staff. Duties include, but are not limited to, the following;

• Works within FirstEnergy to maintain a culture of safety with efficient procedures that support customer service.
• Provide a high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, time sheets, expense account preparation, process invoices and bill payment, etc.
• Assist support staff: Chief Pilot, Manager, Flight Maintenance, Flight Logistics Lead, Flight Scheduler and flight department staff.
• Assists with ground transportation for passengers.
• Produces a variety of correspondence, reports, and presentations using appropriate office equipment and software (Microsoft Office Products), for word processing, graphics, spreadsheets and SAP.
• Produces reports from scheduling software (Aircraft Recordkeeping) for month end journal voucher.
• Maintains files, calendars, schedules meetings and events for the Flight Operations group.
• Drafts and types routine letters and memorandum from specific instructions.
• Purchase and maintain office supplies.
• Performs other duties as assigned.

Qualifications:

• College Preferred or Equivalent Experience; must pass FirstEnergy's Clerical Aptitude Battery Test (CABT).
• Willing and able to work varied hours and schedules as required; able to work well with others
• Customer service focused; skilled in the use of a variety of office equipment such as the personal computer, scanner, fax machines, etc.
• Proficient in the preparation and use of databases, spreadsheets, word processing and graphic presentation applications
• Skilled in the composition of routine business correspondence, including format, punctuation, grammar and knowledge of the terminology of the department; excellent communication skills with good telephone etiquette
• Ability to handle confidential information; ability to prioritize tasks from multiple sources and meet timelines with minimal direction.
