Position: Activities Coordinator

Reports to: Food and Beverage Manager

Location: La Quinta, CA

JOB SUMMARY:

The Trilogy Activities Coordinator assists the club in achieving the most critical goal, bringing the community to life through events, programming, communications, and more. The activities coordinator supports the Asst General Manager and Food and Beverage manager in working directly with all the Activities, Committees, and clubs, developing activities and events to help the community. Experience in recreation management or the hospitality industry preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Accuracy and timeliness of information and events posted in the communication portal for the Members.
  • Must be able to deploy various skills, including personality, copywriting, web content management, email/text/alert deployment, team player, and more.
  • May require working some nights and weekends. Holidays may be required.
  • Must be comfortable around holidays, Birthdays, Christmas, Easter, Hanukah, and Halloween.
  • Lend support to committees and clubs, sourcing new vendors to provide lifestyle activation for the Club.
  • Collaborate with the staff and activities committee to create a comprehensive member program that includes monthly activities and events for recreation, enrichment, creative expression, adventure, and travel. Some Events might be held on-site and off-site.
  • Host club and private events or activities and conduct satisfaction surveys for all events as required.
  • Work on putting together BEO, work with management on contracts and work with vendors with VIVE (liability applications).
  • Putting project (task) folders together for each event club or private.
  • Other duties and responsibilities may be assigned. PERSONAL ATTRIBUTES:

  • Have expert knowledge of all aspects of the Association website platform and capabilities.
  • Coordinate with Member Services to onboard new and existing residents as needed.
  • Assist homeowners and residents with accessing and navigating the website as needed.
  • Coordinate with the Events Coordinator to create and distribute all Community Events and departmental flyers.
  • Meet with the Activities committee regularly. Attend all meetings. Good Communication and updates to committee member chair.
  • Ensure that flyers and announcements are posted in the mail room, Member Services desk, and website.
  • Communicate with homeowners and residents regarding their requests and needs.
  • Create ongoing publication for all events for the community’s Weekly Newsletter, ensuring relevance and flow of information in coordination with Management, the Board of Directors, and the Communications Advisory Committee
  • Work with the POS system adding events and activities.
  • Update assigned action items regularly and timely.

HOURS:

Full Time as needed. Schedule may require weekends and holidays, and weekends may be required, dependent on business needs.

EDUCATION AND SKILLS

  • High school diploma
  • A minimum of 2 years of customer service in the hospitality industry, event planning, or travel industry preferred.
  • Background and working with websites helpfully
  • POS knowledge.
  • Computer literate with knowledge of Microsoft Office and proficiency in Excel.
  • Time Management
  • Must have excellent analytical, organizational, and written and verbal communication skills, with an ability to respond to the needs and requests of members, guests, and the community association.
  • Must demonstrate initiative, with an ability to think, work, solve practical problems, and make independent decisions based on sound judgment.
  • Proficient in Microsoft Office, including but not limited to Word, Outlook, and Excel.
  • Displays strong written and grammatical skills.
  • Work out budget details.
  • Be well-spoken and can communicate in a public setting.
  • Management decision-making capabilities, excellent problem solver, and open to the use of creative alternatives
  • Proven leadership skills.
  • Ability to work effectively with co-workers, customers, and others in a positive manner
  • Ability to perform active listening to consider ideas and suggestions from others objectively.
  • Must be comfortable working in a fast-paced environment where continuous improvement is expected.
  • Valid driver's license is required.

WORK ENVIRONMENT: This position generally operates in a professional indoor office environment but may have some exposure to outdoor weather conditions, and

  • occasionally native wildlife, when on the grounds of the facility or attending outdoor events. The routine use of standard office equipment, such as computers, phones, and copy and fax machines. The noise level in the work environment is usually moderate.

LANGUAGE SKILLS:

Proficient in English.

MATHEMATICAL SKILLS:

Excellent general math skills.

REASONING ABILITY:

Must gather information and quickly make good quality decisions without supervision. Ability to define problems, research, collect data, establish facts, and draw valid conclusions. Must be able to work well under pressure and deadlines, as well as work independently and prioritize time effectively. Must have the ability to make decisions and solve problems creatively.

Job Type: Full-time

Pay: $17.00 - $19.00 per hour
