Job Overview:
The Mailroom Team Leader performs functions to assist with the day-to-day operations of the Hollywood mailroom. The team leader oversees the staff in mailroom, this includes ensuring all mailroom associates report to work as scheduled and complete duties as assigned. The team leader also provides coverage personally as needed.
Your Responsibilities:
Oversees the daily functions of the assigned team while maintaining standards of excellence for processes, methods and personnel. Ensure the goals and needs of the department, company and its customers are consistently met.
Create work/coverage schedule for mailroom associates.
Act as main point of contact for team and coordinate coverage for the team accordingly (i.e. vacations, emergencies, breaks, lunch).
Prioritize, track and review team member work, and monitor quality control of all transactions performed by team members.
Review daily reports for packaging tracking to ensure proper handling of AP checks.
Provide weekly operations report.
Ensure deadlines are met in a timely manner. Provide direction and assist in the investigation and resolution of internal and external problems and concerns.
Communicate timely the potential issues that may affect standard operations to those impacted (i.e. when printer is down resulting in delays in mailings).
Skills & Qualifications:
Must have a minimum of Associate's Degree in Business Management, Finance, or Administration or its equivalent, and three years related experience; or equivalent combination of education and experience
Practice and adhere to FirstService Residential Global Service Standards.
Conduct business at all times with the highest standards of personal, professional and ethical conduct.
Perform or assist with any operations as required to maintain workflow and to meet schedules.
Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
Ensure all safety precautions are followed while performing the work.
Follow all policies and Standard Operating Procedures as instructed by Management.
Perform any range of special projects, tasks and other related duties as assigned.
