About the team

This is an EA role in our People Office team reporting to the Executive Assistant Manager. The team provide administrative support to our Senior Leadership team.

You’ll be part of the high performing, responsive and collaborative Global support team.

What you will be doing

As an Executive Assistant you will support 3 Senior Leaders with global meeting coordination and diary management.

You will support with domestic and international travel arrangements, expenses, raising purchase orders and helping raise support tickets and some ad hoc tasks at the management team’s request. You will also support with planning and execution of site events and organisation for large meetings with room bookings. This is a highly visible role working closely with stakeholders at all levels across the business and external clients, so you must have excellent communication and a high level of confidentiality is needed.

Key responsibilities:

  • Diary management and planning, working with internal and external stakeholders
  • Arranging meetings, telephone conferencing and webinars
  • Raising purchase orders and coding items or invoices
  • Working closely with other EA’s and Administrative support teams to coordinate complex travel arrangements and itineraries
  • Composing memos and correspondence from brief verbal instructions.
  • Preparing documents and presentations material using Word, Excel and PowerPoint

to a high quality and to Worldpay brand guidelines

  • Maintaining and reviewing both short and long term to-do lists of action items; keeping the leaders updated on all action items arising from meetings; following up on the completion of these items
  • Remains knowledgeable of corporate policy. Often called upon to interpret and communicate executive intent to other employees.
  • May make contacts of a sensitive, complex and confidential nature.
  • Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
  • Other related duties assigned as needed.

What you bring:

  • A minimum of 7 years’ experience in a similar role
  • Ability to work well as part of a team
  • Excellent communication skills both in verbal and written form.
  • Focused, proactive self-starter with good interpersonal skills
  • Proficient in MS Office
  • Passion for attention to detail and getting it right first time
  • Able to prioritize and deliver to deadlines

Added bonus if you have:

  • Experience using systems: Workday, Concur, Oracle
  • Experience working in a Global business
  • Experience scheduling meetings in multiple time zones
