General Summary:
The purpose of the Accounts Payable Supervisor is to oversee and support all functions of accounts payable.
Essential Duties:
- The Accounts Payable Supervisor will directly supervise the accounts payable staff to ensure the proper and timely processing of all types of accounts payable invoices and related cash disbursements as well as the incoming/outgoing mail distribution.
- Manage, measure, and provide feedback regarding scheduling priorities and delegated work assignments.
- The Accounts Payable supervisor will supervise, maintain, and update the accounts payable procedures according to our business needs.
- Assist/backup all accounts payable staff functions.
- Monitor and ensure accuracy of supplier database including payment terms & W-9 form documentation.
- Set up and maintain supplier ACH and credit card payment information.
- Process all China office invoices/wires including verifying PO receipts & obtaining necessary approvals.
- Calculate and process weekly freight spreadsheet from our 3rd party freight processing company.
- Scan and index documents as required for document retention.
- Review and respond to supplier inquiries as needed, and escalate when required.
- Understand and monitor invoices for appropriate use tax.
- Maintain and review the Unvouchered Receipts Report.
- Perform month-end Accounts Payable functions.
- Close the Accounts Payable accounting module, run applicable reports, & reconcile balances.
- Upload the bank file into the accounting system and clear all check, ACH, credit, card, & wire transactions.
- Perform monthly general ledger account reconciliations as assigned.
- Review year-end supplier 1099 reporting, prepare the forms, and electronically file with the IRS.
- Provide assistance for year-end audit requests.
- Prepare accounts payable employees for upcoming ERP system change including invoice processing changes.
- Additional duties as assigned.
Education/Certification Requirements:
- Minimum of Associates Degree in Accounting required.
Experience Requirements:
- 2 to 5 years of experience in manufacturing accounting environment.
Skill Requirements:
- High proficiency – Microsoft Excel, Word, PowerPoint, Outlook, ERP, etc.
- Working knowledge of standard and accepted accounting practices.
- Excellent oral and written communication skills.
- Ability to follow all company work rules, policies, procedures and guidelines.

Work Schedule/Attendance /Overtime/Travel Requirements:
- Approximately 40-45 hours a week.
- Flexibility in hours to meet deadlines.
