Overview
FleishmanHillard is seeking an enthusiastic Coordinator to join our Texas team. This position requires a motivated self-starter who can work in a fast-paced, collaborative work environment. The Coordinator will provide administrative support primarily to the Dallas-based team, but also will work with the full executive support team to ensure all Texas offices (Dallas and Austin) have appropriate administrative support. This role will be required to be in the Dallas office on a hybrid, flexible work schedule.

Responsibilities
- Manage ongoing Dallas-based team engagement and recognition activities and events to support team- and culture-building.
- Liaise with the Dallas building’s operational staff as needed to ensure office is fully functional.
- Support team and office communications by regularly gathering necessary information and creating foundational communications tools such as agendas, simple newsletters and basic PowerPoint presentations.
- Make travel arrangements and prepare expense reports for senior staff.
- Support Texas’ financial administration, including creating purchase orders and vendor accounts and processing invoices.
- Coordinate team and client meetings and support new business efforts, including preparation of handouts as needed (proofreading, photocopying and distributing).
- Support team members in proactive, organized and thoughtful manner.
- Interface with staff at all levels helping to resolve inquiries as they arise.
- Manage various projects and multiple calendars.
- Handle confidential information and challenging situations respectfully and discreetly.
- Perform administrative duties as requested including, coordinate mailings, order products and services, maintain client files, run business errands.
- Cross-train on a variety of administrative duties to provide backup to other team administrators when necessary.
- Have flexibility to work occasional overtime.
- Management will modify the job or require other tasks be performed whenever it is deemed appropriate to do so.
Key Qualifications
- 4-5 years of administrative experience with outstanding prioritization, communication and organizational skills, ideally in an agency environment.
- Previous experience making travel arrangements and creating expense reports.
- Proficiency in Microsoft Word, Excel, PowerPoint and Teams.
- Experience working with confidential material in a professional manner.
- Ability to multi-task, meet deadlines and handle changing needs.
- Ability to demonstrate a results-focused approach and commitment to going the extra mile for clients.
- Energetic, self-starter and resourceful problem solver – gets things moving and keeps them on track. High attention to detail, with the ability to manage multiple ongoing activities.
- Good interpersonal skills, can work effectively in a collaborative team environment, negotiate diplomatically, and maintain composure and quality under deadline pressure.

The anticipated salary range for this position is $50,252 to $62,000.
Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications and geography. A range of medical, dental, vision, 401(k) matching, paid time off and/or other benefits also are available.
