Job Description :

Under the direction of the Owner, the Office Administrator will support the owner and team members to provide a fabulous client experience and continuously improve the overall efficiency of the organization.

Responsibilities :

  • Conduct internet and phone-call research to identify resources for seniors, and use it to develop educational flyers for clients and internal training documents.
  • Make calls to clients to check in, share information, schedule meetings, etc.
  • Answer and triage incoming phone calls; set up new clients, send onboarding information and schedule client meetings
  • Provide support to team staff meetings and pull together scorecard, take notes, publish minutes, follow up on action items
  • Call / email vendors for pricing, availability, capabilities, service offerings, etc.
  • Oversee / execute mailings and email campaigns to target lists
  • Triage issues with phones, printer, software etc.; call tech support if needed
  • Order supplies as requested and maintain inventory of promotional material and gifts remaining within budget. Shop for and prepare gift bags and giveaways.
  • Arrange catering for marketing presentations and assemble folders for presentations; order components as necessary
  • Help plan and execute networking and community events
  • Organize and file contracts, reports and other important documentation

Qualifications :

  • Excellent written and oral communication skills with attention to detail and a succinct writing style
  • Outstanding organizational, time management, and computer skills
  • Self-starter, comfortable making observations and voicing opinions
  • Inquisitive and able to research various topics
  • Ability to anticipate what’s needed by the owner and team
  • Self-directed and able to complete projects with limited supervision, while also comfortable asking questions when help or clarification is neede
  • Genuine desire to help and support senior citizens and their families
  • Strong work ethic, honest, kind, helpful, friendly, caring and professional
  • Comfortable learning new software, including proprietary CRM
  • Able to maintain confidentiality
  • Highly flexible and able to change focus quickly as needed
  • Proficient in Microsoft Office and with Google Docs, Sheets, Slides, Calendar, and Drive; Experience with any CRM preferred
  • Preference for candidates who have past experience in a sales support role, or as an Executive Assistant, or Office Administrator.
  • Background in social work, case management, nursing homes, assisted living, hospital discharge planning, hospice, home health, home care, Alzheimer's / dementia, and or real estate is preferred, but not required
