About this Job:

We are seeking a full-time Plan Manager professional to join our team! The Operations Support Manager is responsible for managing projects from inception through conclusion, providing administrative support to management, organizing, and maintaining key materials and records for the Operations unit, and supporting contract management and procurement activities.

This position is critical to the success of management meeting its operational and strategic goals.

Essential Job Functions

Project Management

· Develop, implement, and maintain project plans and project schedules, including documentation of deliverables and task lists.

· Balance resource loads; serve as project manager and work with resources to avoid scope creep.

· Monitor and report status of all projects in progress.

· Maintain master charts and timelines of long- and short-term projects.

· Prepare and present formal status reports as required.

· Serve as point of contact and manage completion of state and federally mandated reports, including responses for the annual KidCare report project; meet all deadlines.

Management Support

§ Independently research, create, draft, and edit reports, presentations, agendas, talking points, and other materials as assigned.

§ Coordinate meetings, prepare agendas and materials, record and distribute minutes, and track and communicate status of open action items.

§ Prepare travel authorization requests, make transportation and hotel reservations, and coordinate with staff to submit travel paperwork for expense reimbursements and to meet documentation requirements.

§ Review and timely update the Continuity of Operations Plan (COOP) at least annually.

§ Work with the IT unit to establish an electronic document library and naming standards to ensure documents, including standard operating procedures, are filed timely, according to established guidelines; maintain currency of the document library.

§ Serve as FHKC’s issuing officer for competitive procurements.

§ Manage contracts related to operational efficiency (e.g., project management consultant contracts).

§ Serve as the public records custodian for the Operations unit.

§ Think strategically, innovate and proactively collaborate with all staff to advance organizational goals, and perform other duties as assigned.

Supervisory Responsibility:

This position has no direct reports.

Travel

· Occasional same day travel for work or corporate events.

· Occasional out-of-town travel with overnight stay for work or corporate events.

Minimum Qualification Requirements:

· Associate degree in related field; two years of related experience in a professional office environment can substitute on a year-for-year basis for the required degree.

Preferred Qualifications:

· Bachelor’s degree in related field.

· 3 plus years of related progressive experience in a not-for-profit or government regulated organization.

· Experience in project management.

· Ability and professional judgment to maintain confidential or sensitive information and exercise appropriate discretion.

· Ability to work effectively with others to achieve common goals and objectives.

· Advanced knowledge of Microsoft Office and SharePoint applications.

· Must have a valid Florida Driver’s License with acceptable driving record and ability to operate a motor vehicle.

Location: Tallahassee, FL

Salary Range: $50,000 to $55,000 annually (commensurate with education and/or experience).
