Who We’re Seeking
Reporting to the Vice President of Strategic Initiatives, the Executive Coordinator provides high-level detailed administrative coordination and support to the elected volunteer Association leadership, key association membership, and select executive department team members (Leadership Team). This role works closely with the Leadership Team to ensure the Association’s activities and business is on-track and on schedule for meetings, projects, and at signature events both onsite and offsite, for statewide, regional, and national events. This role is responsible for maintaining the organization of the Leadership Team’s calendars, preparing extensive travel arrangements for the team, and performing general administrative duties, and it is also required to work interdepartmentally with others across the Association for congruent coordination of Leadership events which impact other departments.
This is a fulltime role ideal for someone that can maintain strong relationships with the Leadership Team and association members, work flexible/additional hours outside of daytime office hours when requested, and perform any other duties as assigned. The ability to accurately provide administrative concierge-style coordination and professional interaction with a Board of Directors or numerous C-suite executives is paramount. The ideal candidate is detail-oriented with outstanding organizational and time-management skills. Strong proficiencies in office management, record and calendar maintenance, travel planning, and drafting reports and correspondence is required. This candidate also thrives on supporting fellow team members and preserving a strong collaborative team culture while practicing discretion.
What You’ll Do
- Manage calendar, scheduling, and appointments for Florida Realtors Leadership Team
- Maintain accuracy of group schedules/calendar
- Ensure the efficiency of the Leadership Team efficiency by proactively planning and communicating schedules and needs across interdepartmental teams
- Partner with the Vice President of Strategic Initiatives to assume responsibility for issues coming to the Leadership Team and remind them of upcoming deadlines
- Partnering with Executive Offices Coordinator, oversee administrative budget, maintain financial statements, and prepare expense reports
- Partnering with the CEO’s Executive Assistant, ensure the CEO is seamlessly involved with the Leadership Team as necessary
- Manage the association’s annual committee appointment systems and elections
- Review correspondence to determine whether an immediate response is required and handle accordingly
- Develop schedules for completion of projects and keep projects on schedule
- Keep the Leadership and Florida Realtors teams updated on general information
- Maintain and organize files/correspondence
- Prepare for and attend meetings with Leadership, which includes preparing meeting agenda, securing meeting facilities, and taking notes
- Plan and execute logistics for team meetings and events
- Other duties as assigned
Requirements
What You Need
Qualified applicants will possess:
- Minimum of 3 years of experience supporting a Board of Directors or C-level executive
- HS Diploma required, Bachelor's degree preferred
- Team Player Attitude - strive for excellent customer service and demonstrate flexibility and reliability in work, including a high level of response to all inquiries
- Ability to think in innovative ways to find solutions to problems
- Strong Microsoft Office skills including Outlook, Excel, Word, and PowerPoint
- Exceptional communication skills—verbal, written, and presentation
- Ability to travel up to 20% to support Leadership Team onsite at events.
