Purchasing, Logistics and Inventory Management
We are a concierge-based medical practice offering a functional, integrative approach to treating hormone imbalance, auto-immune disease, chronic illness, and mind-body health. We offer comprehensive, personalized treatment plans that are customized to the specific needs of each patient utilizing an optimal combination of bio-identical medications, nutritional supplements, and the latest in new blood work analysis and treatment advancements.
Our practice has experienced exponential growth over the past several years and we are looking to add a Purchasing and Logistics specialist to our team to centralize ordering, shipping, tracking and logistics for the wide variety of peptides, supplements, advanced tests and other materials we are involved with.
As a purchasing & logistics specialist, you will play a crucial role in managing all aspects of our procurement activities related to peptides, Semaglutide, supplements and other materials as needed. Your responsibilities will include order initiation and tracking, managing vendors, order tracking, shipping, logistics including direct to patient drop shipping. You will be responsible for timely deliveries and resolving supply-related issues as well as ensuring on-hand inventory, cost management, charging patients as needed together with finance, and developing analytic reporting for management.
RESPONSIBILITIES
Order Management
- Work with Founder and internal stakeholders to place and track orders for a wide range of materials including genetic and other advanced tests
· Ensure smooth flow of inbound supply and outbound shipments to patients
- Resolve patient shipment issues as needed
· Work with internal teams to ensure correct patient charges and interact with patients regarding their orders as needed
Supplier Research and Identification:
- Manage vendors as directed by Founder and management
- Research and identify prospective suppliers as needed
- Maintain strong relationships with internal project teams and external suppliers
- Maintain appropriate vendor management reporting for management
Negotiation and Purchase Agreements:
- Prepare proposals, request quotes, and negotiate purchase terms and conditions
- Issue purchase orders, track orders
Inventory Management
- Manage on-hand inventory across the Pharmacy and the Peptide, Semaglutide and other programs
- Manage order processing for all Tests
Supplier Performance Monitoring:
- Monitor supplier performance and address issues / concerns
- Evaluate the quality of purchased items and resolve any shortcomings
- Manage supplier related billing/accounting issues with Finance
- Develop reporting for management
- Support senior management in developing and implementing sourcing strategies
Reporting, Record Keeping and Compliance:
- Develop analytical reporting together with management
- Maintain accurate inventory and procurement records
- Adhere to company policies, procedures, and regulatory standards as needed
REQUIREMENTS
- 2 years’ experience as a medical or pharmacy purchasing specialist or in a similar role
- Bachelor's degree in business administration, supply chain management, or a related field preferred
- CPM or APICS certification is advantageous
- Good working knowledge of purchasing strategies in healthcare and pharmacy
- Excellent communication, interpersonal, and negotiation skills
- Strong analytical thinking and problem-solving abilities
- Proficiency in Microsoft Office and business application software, as well as purchasing and resource planning systems
- Proficiency with inventory management and reporting
- Proficiency with order management automation
