The Project Manager Assistant’s role is an integral part of the Project Department. Their primary functions include working with a team of project managers to ensure the proper development, execution, financial management, and completion of projects according to established procedures. The Project Manager Assistant is responsible for communication with other departments and In-Country Partners as part of the project management process life cycle. They are well organized, flexible, initiative-taking, and willing to assist the project management team with assigned tasks that vary in complexity. Analytical ability is essential.
Duties:
- Assist Project Managers in the review and preparation of prospective project proposals, budgets, media, documents, and any other requirements.
- Assist Project Managers in the review and preparation of status updates including the vetting of media and ensuring that the required documentation is present, accurate, and consistent with the proposal and previous updates.
- Facilitates in the resolution of project issues with In-Country Partners, Fulfillment & Quality Assurance, Sustainable Livelihoods, and any other applicable departments.
- Ensure that all projects are appropriately documented by filing correspondence and documents following department protocols.
- Assist Project Managers with accounting functions such as the detailed review and preparation of disbursement requisitions, including budget/draw schedule reconciliation.
- Assist in the preparation, submission, and tracking of purchasing requisitions.
- Schedule and assist in meetings including but not limited to preparation of PowerPoint presentations as requested by Project Managers. Document and file Meeting Minutes and Action Plan and disseminate to all parties as instructed.
- Provides leadership and guidance with In-Country Partners, Project Writers, and other departments to meet deadlines and key objectives using communication tools including but not limited to Microsoft Teams and Microsoft Office Suite
- Respond to requests for information on behalf of Project Managers.
- Provides recommendations to Project Managers in task assignment and schedule management to meet department/organizational deadlines.
- Assist Project Manager with trip preparations, including itinerary development
- Assist Project Manager with project reports
- Perform other job-related duties and provide administrative support as directed by the Senior Project Managers, Project Managers, or Director of Projects
Education and Experience: 2-year college degree At least 3 years of work experience, preferably in related field. The position involves interacting with various levels of management and requires a self-motivated individual with strong interpersonal skills
Skills:
