Job Description (Roles and Responsibilities)

The UK Delegation to the OSCE in Vienna is looking for a Project Implementer.

This is an exciting opportunity for an experienced administrative and events officer to join the UK delegation at a busy time, including to contribute to the UK’s leadership in shaping the OSCE’s agenda for 2025. As a key member of our small team, you will work closely with the Ambassador, wider UK Delegation, UK-based policy and programme leads and other OSCE participating States to provide strong project management and administrative support to the whole team.

You will forecast arrange and track payments to various OSCE activities funded by the UK Integrated Security Fund. This will involve working with UK and OSCE corporate and finance teams to handle payments, as well as leading on monitoring and evaluation of programmatic activities.

You will lead on logistical support for a series of UK-chaired meetings on the topic of transnational threats, including booking travel for speakers, and will have the opportunity to contribute to the design and development of each meeting/event within the programme and to suggest suitable presenters / speakers / panellists for discussions.

You will demonstrate excellent interpersonal and organisational skills, have excellent time management and an ability to respond to changing priorities and tight deadlines. You will demonstrate sound judgement, problem-solving skills and attention to detail.


Main purpose of job:

  • Administrative support, including logistical support for UK-hosted meetings and events at the OSCE. This includes designing an agenda and concept note for the meeting, identifying speakers, booking travel for speakers, and ensuring the Ambassador receives necessary briefing ahead of the meeting/event.

  • Project Management, including managing a suite of activities funded by the UK Integrated Security Fund (ISF). You will support payments to the OSCE for these activities, monitor and report on activities to ensure delivery of the overall programme of events on time and within available resources. You will also evaluate activities and overall programme impact and identify lessons learned.

Additional responsibilities:

  • Support wider team when needed, including on external communications and social media posts, and team-wide L&D.


Essential qualifications, skills and experience
  • Fluency at C1 level in English, both written and spoken, according to the CEFR framework*, or equivalent.

  • Good IT skills – Microsoft Office.

  • Excellent communication and interpersonal skills including developing and maintaining networks, including with specialists/experts and non-specialists.

  • Previous experience of managing and delivering programmes, projects and/or complex events

  • Good research skills with a proven track record in producing concise written reports in English.

  • Able to act on initiative, demonstrate flexibility and work well in a team.

  • Extremely organised with effective time management and ability to respond to changing priorities and tight deadlines.


Desirable qualifications, skills and experience
  • Knowledge/ experience of working in a multilateral environment.

  • Previous work experience or background in security/ transnational threats (such as serious organised crime-related issues, counter-terrorism, preventing/countering violent extremism, cyber-security, etc.)

  • Experience with communications including social media.

  • Events management.

When OSCE is in session the job holder will need to show flexibility and willingness to occasionally work out of normal office hours during busy periods, and be available to travel to support the Head of Delegation and team at annual multilateral events (OSCE Ministerial Council);

This is a local staff position in the British Embassy Vienna; it is not a diplomatic designated position. This is a fixed-term full time position until 31 March 2025. The position is subject to the terms and conditions of British Embassy employees.

This is a full-time permanent position of 5 days per week. Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked. The annual leave entitlement is 25 days per year pro rata and the Embassy also enjoys 14 Austrian / UK public holidays per year and we are committed to ensuring a work / life balance.

The successful candidate will be subject to confirmation of a background check and security clearance. It is the applicant’s responsibility to ensure they are legally able to work in Austria. The Embassy is not able to assist with any visa or sponsorship arrangements.

The monthly salary will be € 3,730 gross, payable 14 times a year. You will receive your salary minus social insurance deductions and are expected to comply with Austrian tax obligations through completion of a tax return to the Austrian authorities. However, in some cases you will receive an abated salary where dual taxation agreements apply. Further information will be given at the recruitment stage.

Staff recruited locally by the British Embassy are subject to terms and conditions service according to Austrian employment law.

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Austria and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary pending EU Exit. If requirements change additional eligibility, information will be shared during the recruitment process.
