Reports to: Director of Food Service
Schedule: 40 hours/48 weeks, Administrative Support
Job Summary:
The Secretary works with the Director of Food Service to coordinate activities related to accomplishing the goals of the department and the district.
Job Functions:
- Assist the Director of Food Service with duties as requested. Review mail, answer phones, coordinate meeting schedules, and research and prepare information for appointments or correspondence.
- Prepare correspondence including the drafting of routine memos and letters for the Director of Food Service.
- Assist with various meetings including preparing agendas, sign-in sheets, and minutes.
- Schedule and coordinate work with third-party vendors/contractors.
- Organize staff meetings/training events as needed.
- Process and maintain payroll.
- Assist with purchasing activities including obtaining quotes/proposals, creating requisitions, sending orders to vendors, receiving orders, and submitting invoices.
- Process and file compliance documentation.
- Process free/reduced price meal applications and maintain organized files for audits.
- Participate in annual training/continuing education as required by the Michigan Department of Education.
- Interact with co-workers, administration, students, parents and the community in positive, supportive, and cooperative ways.
- Perform other duties as requested.
Preparation, Training, Education and Experience:
- High School Diploma, Associate’s degree preferred.
- Three or more years’ experience in an Administrative support position.
- Demonstrated proficiency with computers required. Working knowledge of Windows- and Google-based programs (word processing, spreadsheets and presentation software), required. Working knowledge of the District's e-mail, payroll and financial systems preferred or the willingness and ability to learn.
- Demonstrated knowledge of the school breakfast program and national school lunch program preferred.
- Demonstrated excellent customer service skills.
- Demonstrated experience in prioritizing several concurrent projects, working independently with minimal supervision and successfully meeting deadlines.
- Demonstrated excellent communication skills, verbal and written.
- Demonstrated ability to work with confidential information and maintain a high degree of confidentiality.
- Demonstrated ability to write reports and business correspondence and procedures.
- Demonstrated ability to define problems, collect data, establish and analyze facts and draw valid conclusions.
- Demonstrated knowledge of general office procedures.

Term of Employment:
This is a 48-week position subject to the terms of the Administrative Support Staff Agreement. Pay scale and fringe benefits will be subject to the Administrative Support Staff Agreement. Starting at Grade 5, Step 1, $18.32 per hour.

Physical Requirements:
The physical demands described herein are representative of those that employee must meet to successfully perform the functions of this position. The employee is frequently required to remain in a stationary position for long periods. The employee will make substantial movements (motions) of the wrists, hands, and/or fingers. The employee is also required to move about the inside of the building and required to open and close filing cabinets, operate office equipment and computers. The employee spends a majority of their time communicating with staff and must be able to exchange and record accurate information in these situations. The work environment characteristics described herein are representative of those an employee encounters while performing the functions of this position. The noise level in the work environment is consistent with an office environment and is usually quiet but frequently busy. The successful candidate will be able to multi-task and make independent decisions using sound judgment.
