What are the responsibilities and job description for the Dental Business Office Administrator position at Forest View Dental?
Forest View Dental is currently seeking a full-time, experienced Office Administrator. In this position, you will work with the Doctors and the Front Office Manager to keep the office running smoothly and efficiently. Your Responsibilities Would Include:
- Accounts Payable, Invoice & Payment Processing
- Process Daily Deposits from Eaglesoft and Enter into Sage
- Bookkeeping (including maintaining general ledger using Sage software)
- Reconcile Bank Statements
- Run and Process Month-end Eaglesoft Reports
- Payroll (including withholding filings & quarterly reports)
- Prepare W-2’s & 1099’s
- Prepare Profit Sharing Reports
- Prepare Financial Statements & Management Reports
- Maintain Fixed Asset Spreadsheet & Balance Sheet
- HR Duties (including maintaining employee personnel records & employee handbook, coordinating employee recruiting, hiring, orientation, and termination, and ensuring compliance with all Federal/State rules & regulations)
- Administration of Employee Benefits, such as PTO, Retirement, Health Insurance, and Staff Reviews, according to regulations and company policies
- Coordinate Maintenance & Repair of Dental Equipment, Computer Systems, & Facilities
- Ensure Regulatory Compliance (including licensing, CPR training, continuing education requirements, and displaying any posters required by Federal, State or local law)
- Support Marketing & Professional Promotion Initiatives
- Manage Patient Referral Program
- Coordinate Volunteer & Mentoring Opportunities, Community Outreach
- Coordinate Staff Scheduling (including staff meetings, after-hours call, vacations, holidays, etc.)
- Maintain Insurances
- Organize and Oversee Supply Purchases, Equipment Upgrades and Operations Expenses
- Take Responsibility for Appearance and Functionality of the Office
- Process Mail and Respond to Email Inquiries

- Ability to prioritize, organize, and complete tasks in a timely and independent manner
- Must be able or willing to learn to manage and update office computer systems
Education & Experience
- Minimum of 5 years of related experience in bookkeeping, payroll, and human resources, or an equivalent combination of education and experience
- Proficiency with Sage Software, MS Office, and Excel (or similar programs)
- Solid computer skills
- Proficiency in producing and analyzing financial documents
- Knowledge of federal and state labor law regulation
