The successful candidate for this position will be reliable, task oriented, and an experienced Administrative Manager. This role will provide a variety of administrative support to the Fort Bend County Commissioner – Precinct 4 and for the office.
The ideal candidate must have experience in a similar role where assignments are complex and require considerable tact, judgement, confidentiality, discretion, creativity and initiative in order to be successful. The selected candidate will need to enjoy assisting an executive stay on schedule, manage meeting requests, calls, travel and expenses along with assisting with preparations of meetings to include agendas and memos.
Developing a keen knowledge of the County Commissioner’s goals and objectives to understand plans and initiatives will allow the Administrative Manager to provide proactive assistance. Being able to professionally interact with executives, government officials and constituents is a vital component of this job.
Responsibilities
- Maintains the Commissioner’ daily and long-term schedule, including scheduling appointments, meetings, events, and general demands for the commissioner’s time.
- Handles the Office’s registration for conferences and travel arrangements, including reservations and ticketing.
- Respond to and resolve constituent questions and complaints within a reasonable timeframe.
- Implement and maintain administrative policies and operating procedures.
- Assist in handling of human resource activities, including payroll and personnel databases.
- Ensure operations adhere to policies and regulations.
- Maintains confidential records and files.
- Perform and supervise general office activities, such as greeting visitors, filing, photocopying, faxing, processing outgoing and incoming mail, routing and screening incoming calls.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Oversee facilities services and maintenance activities.
- Attend meetings and take accurate minutes.
- Supports and participates in project management activities as needed.
- Assist in Precinct 4 special events, town halls, listening tours, meetings, as well as events with external partners including working on some weeknights and some weekends.
- Participates in activities and duties related to emergency management during a local state disaster as directed by appropriate county managers.
Qualifications
- Requires an undergraduate degree from an accredited university.
- 2 years of (directly related experience) may substitute of college requirement in addition to experience requirement.
- 5 years job related experience in administration, operations, or related field.
- Typing skills (minimum 40 WPM); ability to pass clerical skills testing.
- Good verbal and written communication and comprehension skills.
- Good interpersonal skills and ability to deal effectively with the public, other County employees, elected officials and co-workers. Public speaking and presentation skills required.
SALARY RANGE: $80,000-$90,000 /Yearly
