The Role:

Office Coordinator

Classification: Regular

Compensation: Approx 10/week @ $22-$24/Hr

Reports to: Director of Operations

Start Date: TBD

Review: Six month probationary period; Quarterly performance and compensation evaluations

Position Summary

The Office Coordinator is responsible for providing general administrative and fulfillment support to a mostly virtual FosterClub staff and constituents and serves as the primary manager of routine office tasks in the FosterClub office in Seaside OR.

Essential Functions

  • Fulfillment: tracking online orders from the FosterClub store, packaging and mailing these publications and other goods.
  • Inventory Management: count, ordering/stocking merchandise and publications.
  • Facility Management: maintain relationships with landlord and local vendors to ensure operational integrity of the FosterClub office. Maintain a safe and functional office environment.
  • Executive Support: work with ED and Directors on specific projects as assigned.
  • Office duties: answering phones, greeting occasional visitors, collecting mail, supply management (ordering, restocking), other tasks necessary for daily operations.
  • Tracking and management of computers and peripherals for a Mac-based office.
  • Light housekeeping or maintenance activities to ensure a clean and safe work space. This may include facilitating contact with local vendors and/or contractors.
  • Program Support: Maintain and coordinate distribution of conference materials for program staff.
  • Works collaboratively to reduce racial and gendered outcome disparities for youth who have experienced foster care.

Physical Demands

“The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to:

  • Sit at desk keyboarding
  • Drive
  • Routinely lift <35lbs, occasionally lift <50lbs
  • Bend, squat/rise, twist
  • Climb one flight of stairs for staff or other meetings
  • Light housekeeping or maintenance activities

Position Type/Expected Hours of WorkWork hours TBD, but within regular office hours Monday through Friday, 8:30AM to 5:00PM. Expectation is that 8-10 hours/week will be spread out over at least 2 days/week.

TravelLess than 10% of time may be spent on local travel for errands or to coordinate shipping. One annual staff retreat will require travel for 3-4 days.

NOTE: Potential to combine this role with Operations Coordinator (virtual) role also posted on the FosterClub website - for a total of a 40 hour/week role if candidate is local to Oregon and desires to work in a hybrid environment (10 hours on-site and 30 hours virtual) .

Pay: $21.00 - $24.00 per hour
