FBM, is currently seeking an experienced, flexible, and customer service-oriented Executive Assistant to support our President & CEO in the Santa Ana, CA area. The Executive Assistant at FBM plays a pivotal role in providing high-level, confidential administrative support to our President and CEO. From preparing reports and presentations to managing calendars/travel and coordinating projects, this role requires exceptional multitasking abilities and a commitment to maintaining the highest level of customer satisfaction for both internal and external stakeholders. Essential Executive Assistant Functions: Develop and maintain positive relationships with all divisions and departments within FBM. Collaborate with company leaders to prepare, edit, and finalize presentations. Manage expense reconciliation processes. Manage complex calendars, schedule meetings, and coordinate travel arrangements. Works closely and effectively with the senior leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Assist with special projects and initiatives as assigned by the executive team. Handle sensitive information with confidentiality and discretion. Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met efficiently. Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.   Requirements: Occasional evening and weekend work may be required as job duties. Detailed and deadline oriented. Able to effectively prioritize multiple tasks coupled with solid attention to detail. Must exhibit excellent written verbal and interpersonal communication skills. Travel 5% Bachelor's degree preferred. Proven experience as an executive assistant or similar role, supporting C-level executives. Strong organizational and time management skills, with the ability to prioritize tasks effectively. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook). High level of professionalism and discretion when dealing with confidential information. Ability to work independently with minimal supervision and as part of a team. Flexibility and adaptability to changing priorities and deadlines. Strong problem-solving skills and attention to detail.
