We’re looking for an executive administrative assistant to our CEO; an executive administrative assistant provides high-level support to the top-level management, allowing them to focus on core business functions. They are someone with good judgment, integrity, organizational ability, and competence in technology and the use of software tools to provide optimal results. 


Are you flexible, resilient, and professional in dynamic situations? You’ll need to think on your feet and be friendly and welcoming with a wide range of senior leaders, board members, peers, and customers.


If you’re a good fit for this role, you’ll be comfortable handling highly confidential business and personal information while adhering to the banking industry’s strict regulatory environment. Excellent time and data management skills are a must. You’ll need to prepare and coordinate meetings, appointments, emails,  and much more through the executive office.


Great written and oral communication skills are a must as you’ll be working closely with our CEO — serving as her administrator. Prioritizing your workflow and flexible problem-solving skills will come in handy. You’ll need to understand FCCB’s structure and develop strong relationships with other assistants, leadership, and operations partners.


In this role you will be a valuable member of the FCCB team and will need to be ready to learn about the bank beyond the simple day-to-day activities of this position.


The executive administrative assistant will have a multifaceted skill set to fulfill their role effectively. They are not just an asset but a prerequisite and include the following:

  • Task Prioritization: An EA assesses the urgency and significance of each task, ensuring that the most critical matters are addressed promptly.
  • Time Management: Time is a precious resource, and an EA allots it judiciously to maximize productivity without      sacrificing quality.
  • File and Document Management: They can organize and retrieve information to ensure that no detail is ever lost in the shuffle.
  • Verbal and Written Communication: Whether in phone calls or through carefully crafted emails, they are clear and effective in every exchange.
  • Interdepartmental Coordination: EAs serve as the vital conduit between teams for seamless collaboration.
  • Technological Competence: From intricate spreadsheets to project management platforms, EAs expertly use software      tools for optimal results.
  • Discretion and Confidentiality: They can handle sensitive data with the utmost confidentiality and discretion.
  • Critical Thinking: EAs can quickly devise solutions based on the executive’s goals and objectives to keep operations on course.
  • Adaptability and Flexibility: In a landscape of constant evolution, an EA adapts and thrives between roles and      responsibilities as business needs shift. 

Requirements

We’re looking for someone with:

  • High school diploma or equivalent.
  • Associate or bachelor’s degree; not required but a plus.
  • Two years of professional administrative experience.
  • Excellent oral and written communication skills.
  • Advanced knowledge in various software programs, meeting platforms, and Microsoft Office products.
  • Detail oriented with great organizational skills.
  • Multi-tasking ability to prioritize, plan, and engage with multiple assignments.
  • Ability to handle sensitive documents and communication with complete confidentiality.
  • Excellent writing, editing, and proofreading skills.
  • Ability to quickly learn new processes and systems.
  • Self-motivated and responsive — take the initiative to resolve conflicts and concerns.
  • Excellent time management skills.
  • Ability to meet deadlines with minimal supervision.
  • Comfortable working collaboratively in an open-concept office area.
  • Comfortable engaging with all levels of the bank, from the executive leadership to individual contributors.
