SUMMARY:
The administrative assistant will provide professional administrative support by conducting a variety of administrative duties and other minor administrative duties and activities in a fast-paced school environment. This position works 8 hours per day for 225 days per year and is compensated with annual step wage increases per contract.

Responsible for implementing and maintaining all office and school recordkeeping systems, especially attendance and discipline.

Track student attendance for reports, count and truancy.

Verity all absences, and places a phone call home for unexcused absences.

Possess confidentiality, sensitivity and commitment to serve the students, parents, staff and community of the district.

Notify and collect student fines.
-
Record discipline issues when needed.

Maintain a comprehensive web-based student database.
-
Develop and track records and reports related to incidents, accidents, daily attendance, tardy students and discipline.

Use both computer and manual filing systems to allow for efficient, retention and retrieval of information.

Complete forms, online supply orders, and other required forms.

Proofread material and make necessary corrections.
-
Utilize time management techniques to organize and prioritize work.

Maintain student files, records, enrollment and other related forms.

Prepare, create, and compose letters, reports, bulletins, newsletters and other documents for the school or instructional programs.

Provide assistants, distribution and documentation for student non-prescription medication.

Provide basic first aid to students when necessary and notify parents regarding the first aid.

Provide students with a safe and orderly environment for learning.

Act as a liaison between the school and the general public by researching and conveying information, policies, procedures and laws.

Greet and grant visitors access to the building via security system, provide visitor pass.

Assign Afterschool Detentions and Learning Support Center Detentions for excessive tardies.

Work closely with Learning Support Center paraprofessional to ensure student attendance for detentions and to monitor student homework has been delivered.

Address standard inquiries by telephone, letter, fax, email, fax or district website.

Employee must have the ability to establish and maintain effective relationships with students, staff and community members.

Employee must exhibit a positive attitude, creativity, independent thinking, able to take initiative and multitask.

Assign student parking, collect fees and fines.

Speak, hear, see and write clearly with or without assistive device(s).

Walk, stand for the full scheduled period, with minimal sitting options.

Minimum Qualifications:

High school diploma or GED.

Sufficient formal and/or informal training to provide the ability to read and write at a level consistent with the requirements of the position.

Excellent understanding and knowledge of current technology and to utilize these skills everyday in the performance of the position.
Preferred Qualifications:

Experience working with students.
-
Two years of experience working in an office environment.
Physical Requirements:

While performing the duties of this job, the employee must be physically present, able to work at a desk for long periods of time, regularly required to sit, use hands to finger, handle, or feel; talk and hear.

The employee is occasionally required to stand; walk; reach with hands and arms; and stoop, kneel, crouch, or crawl.

The employee must occasionally lift and/or move up to 30 pounds.

Specific vision abilities required by this job include close vision, and ability to adjust, focus, especially due to concentration on a computer screen and small numbers.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Computer Skills:

Excellent skills and knowledge of personal computing and software applications through experience or coursework. (Microsoft Office, Goggle Docs)

Excellent ability to operate standard office equipment.

Accurately prepare, create, edit and design memos, reports, letters and other documents.
Mathematical Skills:

Ability to add, subtract and multiply and divide in all units of measure, using whole numbers, common fractions and decimals.

Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
Reasoning Ability:

Ability to apply common sense understanding to carry out instructions.

Ability to assist students, parents, and team members with interpersonal issues.
