Summary

The Project Coordinator Business Operations supports the Business Operations team with the coordination of resources, equipment, meetings, action items, and information. This can include communication with various internal production departments to identify and report status of event production with the goal of successful completion on time and within budget.

Essential Duties & Responsibilities

  • Maintain and monitor project plan, project schedules, work hours, budgets, and expenditures
  • Organize, attend, and participate in stakeholder meetings
  • Seek out and facilitate updates to facility profile database with current information
  • Provide weekly progress reports to leadership surrounding status of production of upcoming events
  • Ensures projects adhere to frameworks, timelines, deliverables, and all documentation is maintained appropriately for each project
  • Document and follow up on important action items and decisions from meetings
  • Review and audit exhibit areas for labor quantities and utilization to ensure profitability
  • Regular review of exhibit ordering system (TSS) for updates and missing information
  • Assess project risks and issues and provide solutions where applicable
  • Responsible for facilitating internal meetings, demonstrations, or shop preparation
  • Chair and facilitate meetings where appropriate and distribute minutes to project team and stakeholders
  • Ensures stakeholder expectations are managed toward the best solution
  • Manage incoming customer assets
  • Perform other duties as assigned

Education & Experience

  • Bachelor’s degree or equipment combination of education and experience (4 years)
  • 1-2 years professional industry experience preferred

Travel Requirements

Travel up to 25%
